Individual applicants residing in the US only About the role We’re looking for a detail-oriented and organized Tax Strategy Administrator to join our growing team. In this role, you’ll support the daily operations of our tax and strategy team, manage client communication, and ensure important tasks are completed on time and in line with internal SOPs. You’ll play a vital role in making sure our clients have a smooth, responsive, and well-documented experience.
What you'll do
Monitor and manage the tax team’s shared inbox; prioritize, route, and respond to client messages as needed
Send post-meeting Strategy Summary emails to clients using provided templates
Follow up with clients on outstanding action items and missing documentation
Maintain up-to-date client records and ensure all communications are properly documented
Coordinate with tax strategists and internal teams to track deliverables and meeting outcomes
Prepare tax engagement letters and support onboarding documentation for new clients
Create and maintain client profiles in internal systems (e.g., Airtable)
Gather required data across teams, including retrieving prior-year tax returns and downloading financial reports from bookkeeping systems
Upload and organize documents within the tax filing system to ensure completeness and accuracy
Follow and execute established SOPs for communication, documentation, and task management
Qualifications
2+ years of experience in an administrative, tax, finance, or operations support role
Experience with QuickBooks Online, Google Workspace, Adobe, ShareFile, and ability to learn new systems quickly
Strong written and verbal communication skills, with the ability to professionally handle client interactions, including occasional escalations
Highly organized with strong attention to detail and ability to manage multiple priorities
Comfortable working with tax preparers and accounting teams to understand required documentation and communicate needs to clients
Experience maintaining accurate records, including meeting notes, client communications, and CRM/profile management
Proficient with tools such as Word, Excel, Notion, Airtable, and email platforms
Self-motivated and reliable, with strong time management skills and ability to stay on top of recurring tasks
