Summary:
CareXMis looking for an individual with experience at software companies (SaaS), specifically those who have built, launched, or implemented internal proprietary tools or EMR/product‑driven software. You’ll manage clinical workflow design, telephony and IVR routing, solution testing, and data integrations—while coordinating internal and client‑side teams to launch and operationalize services. You’ll ensure projects are delivered on time, within scope, and aligned with evolving client needs. This role requires strong resource coordination, executive‑level communication, and adaptability to navigate change, risk, and multiple priorities.
Key Responsibilities:
Software Implementation: Lead all phases of CareXM’s software implementations from planning to go‑live, ensuring a successful handoff to the customer success manager. Ensure every part of the project is delivered on time and to an exceptional standard.
Risk Identification and Mitigation: Identify potential risks within projects, develop mitigation plans, and communicate with leadership on plans, blockers, and mitigation status.
Reporting and Communication Plans: Act as the primary point of contact for internal and external stakeholders. Deliver timely updates and briefings to executive leadership, including during high‑volume or high‑stakes periods.
Client Training and Support: Coordinate with the training team to plan training and assist clients in using CareXM’s platform.
Post‑Project Evaluation: Conduct project retrospectives to identify successes and areas for improvement in repeatability and scalability.
Change Management: Proactively manage change requests and evolving project scope. Ensure all changes are evaluated for impact on timeline, budget, and resource allocation.
Cross‑functional Alignment: Coordinate with clinical solutionist, integration, account management, and training teams to keep all swim lanes aligned.
Obstacle Resolution & Ownership: Proactively identify "friction points" in the implementation process, whether technical, departmental, or client‑side, and take full ownership of resolving them. We need a driver who views opposition as a puzzle to solve rather than a blocker.
Qualifications:
Education: bachelor’s or master’s degree in a related field, or equivalent experience.
3+ years of experience in project management in healthcare software implementations and technical integrations.
Proven experience working in small to mid‑sized EMR or SaaS companies.
Experience implementing or launching proprietary software products.
Familiarity with major healthcare/HCM ecosystems, such as Epic, or similar EMR/EHR platforms, is highly preferred.
Demonstrated ability to manage "ambiguous" projects where the roadmap may require real‑time pivots based on technical constraints.
At least 2 years of experience leading large IT projects in a healthcare setting.
Experience working with executive‑level leadership.
Experience leading projects as the vendor project manager.
Knowledge of post‑acute healthcare operations.
Experience in call center operations is a plus.
Skills:
Strong understanding of project management principles and methodologies.
Ability to manage multiple projects and lead cross‑functional teams.
Excellent verbal and written communication skills, especially with executive‑level stakeholders.
Proven track record of delivering projects on time and within budget.
Technical proficiency in healthcare software integrations (e.g., API, HL7).
Ability to maintain project momentum when faced with shifting priorities or stakeholder resistance.
