Job Description We are seeking an enthusiastic, self-motivated team player who is able to thrive in a fast-paced office environment. The Billing Operations Supervisor is an integral part of our billing team, providing financial, administrative, and clerical services to ensure accuracy and efficiency within the accounting department. Being a professional services AEC firm, we work with our clients on a billable project basis. The overall scope of the role includes client project setup, billing, client record maintenance and client project reporting.
Core Responsibilities Business Development, Leadership, Management
Establish new client project records in the accounting system.
Accurately prepare and send client invoices.
Interact with internal and external resources to resolve client billing discrepancies.
Review client records and project financial data to ensure completeness and accuracy.
Work closely with VERTEX Project Managers on contract administration.
Provide support to other departments regarding accounting procedures and requirements.
Maintain data accuracy and integrity.
Create and distribute billing reports.
Assist with special projects as needed.
Operations
Lead and manage in support of strategic plans that align with the organization’s vision and defined business objectives
Responsible for leading and managing in alignment with the development of the overall practice in achieving profit objectives
Support construction of strong cross-functional teams to achieve success in shared goals, understanding that multiple perspectives and talents build stronger teams and results
Manage assigned projects consistent with contracts and proactively alert assigned Director to any potential challenges or issues
Ensure compliance of operations with all local, state and Federal (and International, if applicable) regulations, as well as compliance with company policy
Ensure consistent high quality on deliverables for the practiceOther duties as assigned
Qualifications & Competencies
Requires a Bachelor's degree and 5 years of related experience, a Master's degree and 3 years of related experience, or 8 years of related experience and no degree, and 3 years of supervisory experience.
Demonstrated leadership skills
Knowledge & Skills
Knowledge of general accounting procedures and related computer applications.
Proficient in computer data entry and management (speed and accuracy).
Strong organizational skills with the ability to manage multiple competing priorities effectively.
Dependable: takes ownership of work and ensures completion by deadlines.
Ability to work independently and in a team environment.
Knowledge of Deltek Accounting and MS Office a plus

The pay range for this role is:
$73,000.00 - $199,000.00 USD annually (Geographical Tier AA - Sample Locations: NY Metro, San Francisco, San Jose, Seattle)
$67,000.00 - $184,000.00 USD annually (Geographical Tier A - Sample Locations: Irvine CA, Middlesex NJ, Tacoma WA, Boston, Alexandria)
$62,000.00 - $168,000.00 USD annually (Geographical Tier B - Sample Locations: Baltimore, Chicago, Anchorage, Portland)
