*Role Purpose*
This is a brand-new position, created specifically to meet the organisation's growing need for systems expertise and data-driven insight. It is not a retitling of an existing role — it has been designed from the ground up to deliver meaningful capability across the Group.
The Systems & Data Coordinator will serve as the internal subject matter expert across all systems used throughout the Group — not just financial platforms. This means taking ownership of how Sage Business Cloud, Sage Intacct, and the full range of systems used across the four businesses function, integrate with one another, and serve the needs of their users. Understanding the connections and data flows between systems is as important as managing any individual platform.
The role will also be responsible for delivering the financial data analysis that enables the Accounts team and senior leadership to make informed, confident decisions — drawing on clean, well-integrated data from across the Group's full systems estate.
This role requires someone who can see the whole picture: how systems talk to each other, where data breaks down, and what needs to change to make the Group's technology work as a joined-up whole.
*Key Responsibilities*
*Systems Management & Integration*
* Own the day-to-day administration, configuration, and performance of Sage Business Cloud and Sage Intacct across all Group businesses.
* Act as the primary internal point of contact and subject matter expert for all systems queries — financial and operational — across the Group.
* Develop and maintain a clear understanding of all systems in use across S. Thorogood & Sons, Mushroom Man, Rushtons, and FERMARY, and how they interact with one another.
* Identify, map, and manage the integrations and data flows between systems, ensuring information moves accurately and consistently across platforms.
* Monitor system health across the Group's full technology estate, proactively identifying and resolving issues before they impact operations or reporting.
* Manage user access, permissions, workflows, and configuration across all key platforms.
* Coordinate with external suppliers and implementation partners on upgrades, patches, and technical support.
*New Systems & Implementation*
* Lead the scoping, evaluation, and onboarding of new software and digital tools as the Group's needs evolve — across all business functions, not just finance.
* Build and maintain business cases for system investments, working closely with the Financial Controller and senior leadership.
* Project manage implementation workstreams, including data migration, integration setup, user testing, training, and go-live support.
* Develop and maintain clear documentation for all systems, processes, and integrations across the Group.
* Ensure that any new system introduced is assessed for its impact on existing platforms and that integration requirements are scoped from the outset.
*Financial Data Analysis & Reporting*
* Design, build, and maintain financial data reports, dashboards, and analyses that support business decision-making across the Group.
* Provide accurate, timely, and system-generated data to support month-end, quarter-end, and year-end close processes.
* Identify trends, anomalies, and data integrity issues within financial and operational platforms, escalating findings with recommended actions.
* Support the Accounts team with ad hoc analysis, modelling, and data extraction as required.
* Produce clear, accessible reporting outputs for non-finance stakeholders where needed.
*Stakeholder Coordination & Collaboration*
* Work closely with the Financial Controller, Accounts team, and operational leads across all four businesses to understand and address systems and data needs.
* Act as the bridge between finance, operations, and external technology partners — translating business requirements into systems solutions.
* Liaise with external software vendors, implementation partners, and auditors on systems-related matters.
* Champion a culture of data accuracy, systems discipline, and continuous improvement across the Group.
* Provide training and support to colleagues on systems across the business as required.
*Person Specification*
*Essential*
* Demonstrable experience working with Sage Business Cloud and/or Sage Intacct in a hands-on capacity.
* Experience managing or coordinating multiple business systems, with a strong understanding of how platforms integrate and share data.
* Strong financial data analysis skills, with the ability to extract, interpret, and present data clearly and accurately.
* Experience supporting or leading system implementations, upgrades, or migrations.
* High attention to detail with a rigorous approach to data integrity and accuracy across systems.
* Excellent communication skills — able to translate technical systems concepts for non-technical colleagues across the business.
* Proven ability to manage multiple priorities in a fast-paced, commercially driven environment.
*Desirable*
* Familiarity with ERP or operational platforms used in wholesale, distribution, or food businesses.
* Experience working in a multi-entity or group-level environment with varied systems across different business units.
* Part-qualified or qualified accounting designation (AAT, CIMA, ACCA or equivalent).
* Experience working within a business undergoing digital transformation or significant systems change.
* Knowledge of financial reporting requirements relevant to wholesale or distribution businesses.
