We are currently seeking a highly organized Real Estate Administrator to join our Toronto office on a full-time basis. This role presents an excellent opportunity for an experienced real estate administrator to work within a refined luxury environment.
About the Role
Our Front Desk serves as the first point of contact for our office. This role is integral to ensuring seamless daily operations while providing exceptional support to our Agents, Clients, and Management team.
The successful candidate will bring prior experience within a real estate brokerage environment and demonstrate confidence managing administrative processes with precision and discretion.
Key Responsibilities
Serve as the primary front desk contact for agents, clients, and visitors
Manage incoming calls, emails, and showing appointments (BrokerBay)
Prepare listing presentations and associated documentation
Add/Edit and manage MLS listings (TRREB broker loading)
Prepare offers, representation agreements, waivers, amendments, and related documentation.
Facilitate real-time offer execution using platforms such as SkySlope, Webforms, and DocuSign
Organize and maintain listing files and compliance paperwork
Coordinate sign installations for office listings
Manage the Broker of Record's calendar and appointments
Prepare reports as required
Assist in onboarding new agents
Collaborate with marketing teams on corporate campaigns, direct mail, unaddressed and EDM updates
Support event preparation and office initiatives
Maintain a professional and welcoming office environment
Skills & Qualifications
Minimum 2 years' experience as a Real Estate Office Administrator or Listings Coordinator (required)
Superior customer service skills with an excellent telephone manner
Strong communication and interpersonal skills
Advanced proficiency in MS Suite and Google Workspace.
Comfortable navigating MLS systems, SkySlope, Webforms, and related platforms
Highly organized with attention to detail
Ability to manage multiple priorities and responsibilities independently.
