About The Role
The Executive Administrative Assistant plays a vital role in supporting senior executives or divisions by managing a broad range of complex administrative duties. This position requires a highly organized, detail-oriented professional who can handle multiple priorities efficiently. The successful candidate will serve as a key point of contact, facilitating communication, coordinating schedules, and ensuring the smooth operation of daily activities. This role involves preparing correspondence, managing reports and files, and assisting with special projects such as budgeting and variance reporting. The Executive Administrative Assistant must demonstrate excellent communication skills, problem-solving abilities, and the capacity to work effectively in a fast-paced environment. The position is based in our office setting, with some flexibility depending on specific arrangements made during the hiring process.
Qualifications
- High School diploma or equivalent
- Minimum of five (5) years' experience in an administrative support role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access)
- Excellent written and verbal communication skills
- Strong organizational, planning, and time management skills
- Ability to prioritize multiple tasks and meet tight deadlines
- Demonstrated effectiveness in a fast-paced environment
- Exceptional attention to detail and analytical skills
Responsibilities
- Answer incoming calls, prepare, edit, and compose correspondence and reports
- Maintain and establish reports or files to ensure easy retrieval and organization
- Provide information and resolve issues by evaluating multiple non-standard solutions
- Schedule, coordinate, and make arrangements for meetings, conferences, and events
- Gather data, prepare, and consolidate reports for management review
- Assist with special projects, including budgeting and variance analysis
- Organize and direct workflow to optimize efficiency
- Perform additional duties as assigned by management to support operational needs
