We are seeking a highly organized and proactive professional to oversee the daily operations of our client's office while providing key security services to ensure the safety and security of our staff, clients, and office premises. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage both administrative tasks and security protocols effectively.

Responsibilities:
Office-
- Oversee the smooth and efficient running of the office on a day-to-day basis, ensuring a productive and organized working environment.
- Manage office supplies, inventory, and ensure the office is always well-maintained and organized.
- Coordinate and schedule meetings and appointments for staff and visitors.
- Handle general office correspondence, including answering phone calls, responding to emails, and managing incoming and outgoing mail.
- Assist with onboarding new employees, including orientation, office tours, and distribution of office resources.
- Serve as the point of contact for facility-related issues, including maintenance, equipment repair, and general building management.
Security-
- Oversee security protocols for the office, ensuring compliance with all relevant laws, policies, and company procedures.
- Implement and manage access control systems, ensuring only authorized personnel have access to the office.
- Monitor security cameras and other surveillance equipment, responding promptly to any suspicious activity or breaches.
- Conduct regular security audits, inspections, and assessments to ensure a safe working environment.
- Coordinate emergency preparedness efforts, including fire drills, first aid training, and developing emergency evacuation plans.
- Liaise with external security providers, if applicable, and manage relationships with third-party security agencies.
- Maintain accurate records of security-related incidents and reports, and ensure all security-related documentation is up to date.
- Provide security training to employees to promote awareness and safe practices.
- Complete daily activity log, log attendance entries, and enter any incident reports.
- Make recommendations to management for better safety and loss prevention during daily routine.
Other Duties
- Act as a liaison between various departments, management, and external vendors or clients.
- Assist with special projects or events that may require coordination of office resources or security support.
Qualifications:
- Must possess VA guard card.
- Ability to pass background checks and drug testing.
- MUST be honest, alert, well disciplined and PROFESSIONAL at all times.
- Ability to be a hands-on, results oriented employee, handling multiple priorities simultaneously.
- Ability to facilitate progressive change, work as part of a team, and follow direction.
- Strong written and oral communication skills.
- Ability to adapt and adjust to last minute changes.
- Proven experience as an office manager or in a similar administrative role.
- Experience in office security or facility management preferred.
- Strong understanding of office management procedures and security protocols.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace, and facility management software).
- Excellent organizational, multitasking, and problem-solving skills.
- Strong communication skills (written and verbal) and ability to handle sensitive or confidential information with discretion.
- Ability to stay calm and make decisions under pressure.
- Basic knowledge of security systems, including alarm systems, surveillance cameras, and access control.
- High school diploma required; Associate's or Bachelor's degree in Business Administration, Security Management, or related field preferred.
Physical Requirements:
- Ability to sit, stand, walk for 8 to 10 hours at a time; inside or out.
- Occasional and brief exposure to the elements
