We are excited to announce that we are looking for a Full-Time, Procedure Schedule at Albany Gastroenterology Consultants in Albany, NY.
About the Role:
The Procedure Scheduler plays a critical role in the healthcare delivery process by efficiently coordinating and scheduling medical procedures for patients within a healthcare facility. This position ensures that all procedural appointments are accurately booked, taking into account patient needs, physician availability, and resource allocation to optimize operational flow. The Procedure Scheduler acts as a liaison between patients, healthcare providers, and administrative staff to facilitate clear communication and timely scheduling. By managing appointment logistics and maintaining detailed records, this role directly contributes to enhancing patient satisfaction and supporting clinical teams in delivering high-quality care. Ultimately, the Procedure Scheduler helps to minimize delays and maximize the utilization of procedural areas, ensuring a seamless patient experience from scheduling through procedure completion.
Responsibilities:
  • Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements.
  • Verify patient information, insurance coverage, and pre-authorization status to ensure compliance with healthcare policies and reduce scheduling errors.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Manage appointment changes, cancellations, and rescheduling promptly while keeping all stakeholders informed.
  • Collaborate with multiple departments to optimize procedure room utilization and minimize patient wait times.
  • Provide exceptional customer service by addressing patient inquiries and concerns related to procedure scheduling.
  • Ensure adherence to privacy regulations and institutional policies when handling sensitive patient information.

The Procedure Scheduler utilizes strong organizational skills daily to manage complex scheduling demands and ensure efficient use of procedural resources. Effective communication skills are essential for coordinating between patients, healthcare providers, and administrative teams, ensuring clarity and accuracy in appointment details. Proficiency with electronic health record systems and scheduling software enables the scheduler to maintain precise records and quickly update appointment statuses. Problem-solving skills are applied when handling scheduling conflicts, cancellations, or insurance verification issues to minimize disruptions. Additionally, attention to detail and knowledge of healthcare regulations ensure compliance and protect patient confidentiality throughout the scheduling process.
Minimum Qualifications:
  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in medical scheduling, healthcare administration, or a related field.
  • Familiarity with medical terminology and healthcare procedures.
  • Proficiency in using electronic health record (EHR) systems and scheduling software.
  • Strong organizational and communication skills.

Preferred Qualifications:
  • Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant).
  • Experience working in a hospital or outpatient clinical setting.
  • Knowledge of insurance verification and pre-authorization processes.
  • Ability to handle multiple tasks in a fast-paced environment with attention to detail.
  • Bilingual skills to assist a diverse patient population.
