Opportunity We are seeking an experienced Sales Estimator for the Controls Department. Must be detail‑ and customer‑service oriented and have excellent organizational skills. The position requires a high level of correspondence with the Service sales team and with customers & vendors. Must be strong in Microsoft applications and be able to work well with others in a fast‑paced & high‑volume environment.
Responsibilities
Plan and Spec work:
Receive plans and specifications from the Engineering Sales team via the Controls & Aftermarket Sales Manager
Review and mark‑up plans and specifications to determine controls system requirements for new construction and/or retrofit projects
Provide a turnkey proposal for plan and spec projects to the Controls & Aftermarket Sales Manager for review and submission to the Engineering Sales team
Site visit and customer interaction:
Receive site visit information from Controls Sales team for existing buildings, discuss customer needs and sales opportunity
Provide a turnkey proposal to the Controls & Aftermarket Sales Manager for review and submission to the customer
Field service report handling:
Receive field service reports, determine services required and/or recommended, discuss with Controls Sales team
Prepare estimates and proposals based upon field service reports:
Controls replacements and/or repairs
Preventive Maintenance (PM) Agreements
Additional services recommended and/or performed at similar sites (programming updates, graphics updates, sequence of operations updates, etc.)
Data entry for proposed projects, repairs, and/or PM agreements into CRM (Linx, etc.)
Track sent proposals and follow up with Equipment Sales and Controls Sales on a consistent basis
Book sold proposals and/or PM Agreements with the Controls Department including turnover meetings and discussions with Controls Sales, Controls Management, and/or Controls & Aftermarket Sales Manager
Track repair parts/equipment status and update Controls Sales, Controls Management, Controls Service, and Customer
Weekly updates to Controls Sales on proposed, sold, and booked projects and PM agreements
Track active, expiring, and expired PM agreements and send renewal proposals 60‑90 days prior to expiration
Additional responsibilities:
Discuss with Controls Sales for additional services, pricing levels, and scope verification
Verify existing agreement performance with Controls Sales, Controls Management, and Controls Dispatchers
Maintain job files for Controls Sales, Controls Management, and Customers
Act as an active member of the Controls Team, supporting training, event planning, promotional items, and branding
Handle clerical and administrative support, including faxing, copying, and data entry for Controls Sales Team
Takes calls from customers and works to answer questions, resolve issues, or take messages
Generate, interpret, and print various assigned reports
Maintain expense reports and utilize vendor & manufacturer discounts
Perform other duties as assigned
Required skills and attributes:
Excellent organizational skills and ability to multi‑task and prioritize
Experience in customer service; able to work independently and in a fast‑paced sales team environment
Required Profile
Associate’s degree in business or related field and 3 years of administrative assistance experience; or 5 years of administrative experience
Strong computer skills in MS‑365, including Word, Excel, PowerPoint, and Outlook
HVAC, mechanical contracting, engineering, or construction industry experience a plus
Other Skills & Abilities
Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos; write correspondence; present information in one‑on‑one and small group situations.
Mathematical Skills: Add, subtract, multiply, divide; compute rate, ratio, percent; draw and interpret graphs.
Reasoning Ability: Apply common‑sense understanding to carry out instructions furnished in written, oral, or diagram form; deal with problems involving several concrete variables in standardized situations; mental stamina for problem solving and prioritizing multiple tasks.
Environmental Requirements Will be required to work in an office environment and possibly, occasionally in the field.
Physical Demands While performing the duties of this job, the employee is regularly required to use hands to operate computer keyboard and telephone, reach with hands and arms. The employee frequently is required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
