Through strategic partnerships with global retailers, brands, and corporate clients, Indego Africa connects artisan‑made products to international markets while investing in skills development and business growth.
Position Summary The Sales Operations Manager plays a critical role in ensuring seamless execution across Indego Africa’s wholesale, retail, and custom sales channels. This individual serves as the operational bridge between sales, design, production, logistics, and finance teams to ensure that orders are fulfilled accurately, on time, and to the highest quality standards.
The ideal candidate is highly organized, detail‑oriented, and experienced in managing complex product lifecycles across multiple stakeholders and geographies. They thrive in fast‑paced environments and are passionate about social impact and artisan‑made products.
Compensation Salary:
$68,000 - $72,000 annually, commensurate with experience.
Key Responsibilities Sales & Order Management
Manage the end‑to‑end order lifecycle, including entering customer orders into SOS, creating corresponding QuickBooks invoices, and calculating shipping and merchant fees.
Handle complex payment terms, ensuring upfront deposits are collected and final balances are paid upon shipping.
Manage and process orders for online wholesale marketplaces (Faire) and dropship/consignment accounts, including Powered by People (PBP), Over the Moon (OTM), and Same Sky.
Process in‑person retail and event sales utilizing Shopify POS and Tap & Chip hardware.
Production & Inventory Coordination
Maintain the Master Inventory Sheet to analyze SOS inventory reports and determine product reorder quantities.
Create, format, and distribute Purchase Orders (Statements of Work) to production managers and artisan cooperatives in Rwanda and Ghana.
Create and configure new product SKUs across SOS, QuickBooks, and Shopify, ensuring accurate product descriptions, pricing, dimensions, imagery, and impact statistics.
Participate in weekly production touch‑bases with the Rwanda and Ghana teams alongside the New York design team.
Conduct rigorous Quality Control (QC) on incoming shipments, documenting issues with photos and detailed notes to share with African production teams.
Logistics & Fulfillment
Maintain the active Shipment Tracker to monitor ready‑to‑ship inventory, track shipped units, and calculate remaining order balances.
Receive incoming shipments by physically matching products to packing lists and officially recording the received inventory within the SOS system.
Coordinate international shipments and customs documentation, regularly communicating with freight forwarders to arrange JFK airport pickups and entry fee approvals.
Review, verify, and process payment for shipping and courier invoices from DHL, UPS, and FedEx.
Sales Analytics & Reporting
Generate and export monthly Distribution of Work reports from Salesforce to track purchase order accounting for respective artisan cooperatives.
Compile comprehensive monthly Shopify Sales reports, filtering data across various channels (Shopify Collective, POS, PBP, OTM) to generate accurate QuickBooks invoices encompassing gross sales, discounts, refunds, and taxes.
Prepare detailed Monthly Payout Reports for dropship channels to reconcile commissions, returns, and net payouts for the accounting team.
Calculate monthly Cost of Goods Sold (COGS) utilizing Quickbooks sales reports.
Maintain daily updates to the Sales by Distribution Channel spreadsheet to accurately track retail, wholesale, custom, corporate gifting, and sample sales.
Systems & E‑commerce Management
Optimize Shopify e‑commerce operations, including creating product pages, managing online sample sales, and updating the website’s stockist page.
Execute manual stock adjustments in SOS to accurately account for damaged items, samples, photoshoot usage, and pop‑up events.
Lead physical inventory counts for year‑end audits and quarterly checks, rectifying discrepancies between physical stock and SOS data.
Manage Salesforce user profiles, customize dashboards, update cooperative picklists, and adjust currency exchange rates.
Qualifications
Bachelor’s degree or equivalent experience.
3–5 years of experience in sales operations, supply chain management, merchandising operations, or wholesale operations.
Experience in fashion, consumer products, home goods, or retail strongly preferred.
Demonstrated experience managing complex supply chains and logistics.
Strong analytical skills with proficiency in Excel or Google Sheets; experience with CRM or ERP systems preferred.
Exceptional project management and organizational skills.
Ability to manage multiple priorities and stakeholders across time zones.
Passion for global development, women’s economic empowerment, and artisan enterprises.
Preferred Qualifications
Experience working with artisan supply chains or social enterprises.
Familiarity with import/export processes and international shipping.
Experience with Shopify, inventory management systems, or wholesale platforms.
Experience working across Africa or emerging markets.
Success in This Role After 12 months, the Sales Operations Manager will have:
Established reliable order management and fulfillment processes across all sales channels.
Improved inventory visibility and production forecasting.
Reduced order errors and delivery delays.
Created systems that enable Indego Africa to scale market access while maintaining exceptional customer experience and artisan impact.
