We're looking for a Medical Office Assistant (MOA) / Clinical Assistant to join our growing team. This role would either begin with a flexible part-time schedule in April 2026 with a transition to full-time in summer 2026, or could begin as a full time role in April 2026 for the right candidate
It's an ideal position for someone who is interested in pursuing a professional career in medicine, nursing, or another healthcare field, and wants to gain meaningful, hands-on experience in a supportive environment. Students and those with limited experience will be considered, as our preference is finding someone with the right personality and work ethic.
Compensation: $22–$27 per hour (based on experience)
Schedule: Weekdays 9am-6pm
Professional Development: Ongoing mentorship and a detailed reference letter provided for future academic or professional applications
Key Responsibilities
1. Patient Reception & Coordination
- Greet patients in a friendly, professional manner and make them feel welcome
- Check in patients, verify health card and demographic information, and update records as needed
- Schedule and manage appointments using OSCAR Pro EMR
- Monitor the waiting area and coordinate patient flow to minimize wait times
- Handle phone calls, voicemails, and emails with courtesy and efficiency
2. Clinical Support
- Prepare exam rooms and assist physicians during procedures
- Record vital signs and patient intake information when appropriate
- Disinfect rooms between patients
- Monitor vaccine fridge temperatures and maintain daily logs
- Ensure supplies are stocked and ready for daily use
3. Administrative & Documentation Tasks
- Update patient records and manage forms, requisitions, and referrals within OSCAR Pro
- Support physicians with chart preparation and daily schedule coordination
- Assist with OHIP billing reconciliation and simple accounting or inventory entries as needed
4. Communication & Teamwork
- Liaise with patients, pharmacies, laboratories, and other healthcare professionals
- Communicate results, instructions, or appointment details as directed by the physician
- Uphold the clinic's standards of confidentiality, professionalism, and patient care
5. Office Organization & Supplies
- Monitor and order medical and office supplies, including vaccines and disposables
- Maintain a tidy, well-organized front desk and workspace
- Assist with opening/closing procedures and ensure smooth daily operations
Qualifications
- Familiarity with OSCAR EMR is an asset
- Strong communication, organization, and multitasking skills
- Ability to remain calm and professional in a fast-paced environment
