high-level administrative, analytical, and data management support to Environmental Health & Safety (EHS) and regulatory compliance programs within the Division of School Facilities (DSF). This consultant's role is designed to strengthen
program operations, data-driven decision-making, and regulatory reporting, while minimizing the need for technical or scientific field assessments.The consultant will primarily operate in an
office-based capacity, serving as a central coordinator for data, documentation, reporting, and compliance workflows related to environmental health initiatives (e.g., lead, asbestos, mold, water quality, indoor environmental conditions). The role also includes
targeted analytical work, such as trend analysis, dashboard development, and performance monitoring, as well as
limited on-site engagement to support data verification, audits, and quality assurance efforts.Key Objectives of the Engagement Strengthen administrative and operational efficiency across EHS and compliance programsImprove
data accuracy, accessibility, and usability for regulatory reporting and leadership decision-makingSupport compliance tracking and documentation across a large, multi-site public school systemProvide flexible, consultant-level analytical capacity without expanding permanent staffScope of Work Administrative & Program Operations Support (Core Focus) Provide comprehensive
administrative coordination for EHS and compliance initiatives, including scheduling, meeting facilitation, documentation, and follow-up tracking.Draft, edit, and organize
program reports, correspondence, guidance documents, and standard operating materialsMaintain centralized digital filing systems for inspection records, compliance documentation, contractor deliverables, certifications, and audit materials.Track milestones, deadlines, and corrective actions related to compliance programs and regulatory commitments.Coordinate communication between program managers, technical staff, school-based personnel, and external stakeholders.Support contract and vendor administration, including tracking deliverables, invoices, insurance documentation, and performance metrics.Data Management & Data Analysis (Expanded Consultant Emphasis) Collect, organize, validate, and maintain
large datasets related to environmental inspections, sampling results, remediation activities, and compliance outcomes across multiple school sites.Develop and maintain
structured spreadsheets, databases, and tracking tools to monitor program status, trends, and risks.Perform
descriptive and trend analysis to identify patterns related to compliance issues, inspection outcomes, remediation timelines, and contractor performance.Create
dashboards, charts, and visual summaries for management, leadership briefings, and regulatory reporting.Support preparation of data-driven reports for internal leadership, oversight entities, and public-facing disclosures, as appropriate.Assist program leadership in translating technical or field-generated data into
clear, actionable administrative and policy insightsIdentify data gaps, inconsistencies, or process inefficiencies and recommend improvements to data collection and management practices.Compliance & Regulatory Coordination Support administrative monitoring of compliance with applicable Federal, State, and City environmental health regulations, including lead, asbestos, mold, water quality, and indoor air quality requirements.Assist with compilation and organization of documentation for regulatory submissions, audits, inspections, and inquiries.Track regulatory requirements, reporting schedules, and record retention obligations.Coordinate responses to compliance-related complaints, requests for information, and audit findings in collaboration with technical staff.Support training and certification tracking related to compliance and environmental health programs.Fieldwork & Quality Assurance Support (Limited and Targeted) Conduct
occasional site visits to schools or facilities to support data verification, audit preparation, or documentation review.Assist with administrative aspects of inspections, including verifying forms, photographs, sampling logs, and chain-of-custody documentation.Observe field activities for the purpose of improving data accuracy, workflow efficiency, and reporting consistency.Serve as a bridge between field staff and central office by ensuring that site-based information is accurately reflected in program datasets and reports.Deliverables May Include Centralized compliance tracking tools and databasesManagement dashboards and summary reportsData quality improvement recommendationsProgram performance and trend analysesAudit- and inspection-ready document repositoriesProcess maps or workflow documentation related to compliance and data managementRequired Qualifications Demonstrated experience in
administrative consulting, program coordination, or operational support roles.Strong experience with
data management, analysis, and reporting, particularly in Excel and/or similar tools.Ability to work with complex datasets derived from technical or regulatory programs.Proven ability to organize, synthesize, and present information clearly to both technical and non-technical audiences.Strong written and verbal communication skills.Ability to work independently in a consultant's capacity while collaborating closely with client staff.Preferred Experience Experience supporting environmental health, facilities management, compliance, or regulatory programs.Familiarity with public-sector operations, large organizations, or multi-site programs.Experience developing dashboards or performance metrics for leadership.Working knowledge (non-technical) of environmental compliance topics such as lead, asbestos, mold, or water quality.Experience supporting audits, inspections, or quality assurance initiatives.About Us: InterSources Inc
