Accounts Payable Specialist

About
The ideal candidate brings construction AP experience, strong Excel skills, and comfort working with job-costed invoices, project managers, and sales/use tax requirements.
Key Responsibilities
- Own the full accounts payable cycle, including invoice intake, review, coding, approval routing, and payment processing
- Process high-volume job-costed invoices, including subcontractor, materials, and overhead expenses
- Handle both P.O. and non-P.O. invoices, partnering with Project Managers to resolve discrepancies and ensure accurate job coding
- Maintain vendor records, including onboarding, updates, and ongoing vendor communication
- Perform vendor statement reconciliations and AP account reconciliations, researching and resolving variances
- Monitor and manage AP aging, ensuring timely payments and proactive issue resolution
- Assist with month-end close, including AP accruals, cutoff procedures, and supporting schedules
- Review invoices for sales and use tax applicability, ensuring proper tax treatment and compliance
- Support audits, special projects, and process improvement initiatives
- Collaborate cross-functionally with accounting, operations, and project teams to improve AP workflows and controls
- 2+ years of experience in a full-cycle accounts payable role, preferably within construction or a project-based environment
- Experience processing job-costed invoices and working closely with Project Managers
- Solid understanding of sales and use tax in a construction setting
- Experience with construction accounting systems such as Procore, Viewpoint Vista, or similar platforms
- Strong Excel skills, including pivot tables and VLOOKUPs (or XLOOKUP)
- Experience with accounting/ERP systems and AP automation tools
- Strong attention to detail, organization, and ability to manage multiple priorities
- Clear communication skills and a collaborative, team-oriented mindset
