This position will support our Executive Director and other Department Leaders at The Mansion at Rosemont. $20-$23 per hour based on experience.
Administrative Assistant
The Administrative Assistant is responsible for providing administrative and secretarial support for the Executive Director and other department leaders. This role blends administrative and organizational skills to ensure smooth operational excellence within the community.
Schedule: Full-Time (30 hours per week)
Shift: 4 days/week - some scheduling flexibility
Pay: $20 - $23 per hour based on experience
Essential Duties and Responsibilities:
- Provides day to day administrative support to the Executive Director.
- Types letters of correspondence, memorandums, reports, forms, and meeting agenda/minutes as needed.
- Schedules appointments as needed for the Executive Director.
- Maintains an organized filing system and inventory.
- Responsible for mail and facsimile distribution.
- Reads and answer e-mail, listen and respond to voice mail promptly and appropriately.
- Sends out Notices for Board of Advisors meetings and coordinates materials for the meetings;
- Screens incoming calls; takes messages and/or forwards calls as appropriate;
- Organizes and stocks Supply Storage area
- Provides meal break and other breaks as needed at the Front Desk
- Provides Reception for the Administration area.
- Provides effective and courteous service to all residents, potential residents, guests and co-workers;
- Performs related essential duties as required.
To be successful in the role, you would have:
- Exceptional internal and external communication skills including reading, writing and conversing in English
- Decision making and problem solving skills
- Reading, writing and conversing in English effective verbal and listening
- Excellent time management skills
