OPERATION ASSISTANT Perform waste tracking quality control to ensure the accuracy and completeness of hazardous and non-hazardous waste manifests, bills of lading, and Land Disposal Restriction (LDR) documentation, and report discrepancies in accordance with company procedures. Maintain records in compliance with regulatory requirements, permit conditions, and company policies. Support receipt maintenance and manifest validation programs. Create, receive, process, and maintain all inbound and outbound shipping and manifest documentation. Maintain shipper edits and ensure proper documentation updates. Maintain regulatory records, including filing, sorting, scanning, distributing, and mailing paper manifests as required. Enter purchase order receipts into the accounting system. Coordinate with cross-functional teams across the organization to support operational efficiency and ensure effective communication. EMANIFEST COORDINATOR
Review data within the Ross eManifest system and verify accuracy against digital manifest scans. Upload hazardous waste manifests from internal systems and digital records to the EPA eManifest system. Monitor and communicate issues related to failed uploads, time-sensitive submissions, or discrepancies on a daily basis. Investigate, communicate, and resolve manifest-related issues in a timely manner. Correct manifest data within both the EPA eManifest system and internal systems. Certify manifests electronically by signing and submitting required information to regulatory authorities; obtain and maintain an Electronic Signature Agreement. Develop and maintain standard operating procedures (SOPs) and high-quality documentation to support compliance and operational efficiency. Identify opportunities for continuous improvement and system enhancements to IT and leadership. Train team members on the use and functionality of the Ross eManifest system. OTHER
Utilize business software applications, including Microsoft Office (Word, Excel, Outlook), and communication tools such as email and teleconferencing systems. Participate in safety training as required by the Environmental Health & Safety (EHS) department and applicable permits. Support and comply with ISO 45001 (Occupational Health & Safety) and ISO 14001 (Environmental Management Systems) standards and objectives. Perform additional duties as assigned. ⢠Minimum Qualifications High school diploma or GED required, additional education or training in a related field preferred. Minimum of three (3) years of relevant administrative or operational experience. Working knowledge of environmental regulations (e.g., RCRA, DOT) preferred. Strong written and verbal communication skills. Excellent organizational, analytical, and problem-solving abilities. High attention to detail with a strong commitment to accuracy and quality. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to follow established procedures and regulatory requirements. Demonstrated strong work ethic and customer-focused mindset.
