Purchasing & Facility Coordinator (m/f/d)

• Soliciting, comparing, and evaluating quotes
• Creating and managing purchase orders (POs), contracts, and related documentation
• Ensuring compliance with internal purchasing processes and guidelines
• Tracking deliveries and verifying invoices in coordination with Finance
• Maintaining supplier data and purchasing documentation and monitoring the entire purchasing process (from PO creation to payment) with clear documentation
• Coordinating with external service providers (maintenance, repairs, services)
• Supporting day-to-day office operations
• Assisting with office setup, minor layout adjustments, and workspace organization
• Tracking facility-related costs and documentation
• Providing cross-departmental support for administrative and operational matters

• Background in purchasing, procurement, supply chain, or a related field
• Completed vocational training (apprenticeship) or a degree (bachelor’s or equivalent) or relevant professional experience
• At least approximately 3 years of relevant professional experience is desirable
• Basic understanding of purchasing processes (RFQ, purchase orders, invoices, shipment tracking)
• Experience dealing with suppliers/service providers
• Structured and organized work style
• Fluency in German and English (German proficiency at C1 level required)
