This role is responsible for overseeing the department 's compliance with all federal, state and organizational regulations related to health information management (HIM), including HIPAA.
This role also involves managing patient requests to amend their medical records, release of information (ROI) vendor process, and coordinating patient rights related to their medical records.
This role serves as the primary point of contact for physicians' communication regarding HIM-related matters, including documentation requirements, coding guidelines, and access to patient information.
Position Responsibilities:
Assists HIM Director in monitoring and enforcing compliance with HIPAA and evaluating compliance to privacy, information security, and confidentiality of health information standards.
Oversees daily operations related to medical record amendments.
Stays up-to-date on changes in regulations and best practices related to HIM.
Develops, implements and updates HIM compliance policies and procedures for record amendments, ROI, and physician documentation.
Serves as primary contact for amendment requests, guiding patients through HIPAA processes and resolving.
Processes and coordinates patient requests to amend medical records, ensuring accuracy and compliance with legal requirements including validating claims, and documenting outcomes per HIPAA guidelines.
Documents all amendment decisions and maintain amendment logs and final resolution.
Serve as the key liaison with physicians to address patient requests for record amendments, ensuring transparent communication and timely resolution. Communicates effectively with physician regarding patient amendment request, explain the process and obtaining their input.
Develops and maintains strong relationships with physicians and other healthcare providers to facilitate effective communication related to HIM.
Communicates amendment outcomes to patients and relevant healthcare providers.
Oversees vendor ROI processes with an emphasis on accuracy, timeliness, and security.
Ensures that all releases are compliant with privacy regulations and organizational policies.
Collaborates with the vendor to address any performance issues or compliance concerns.
Investigates and reports to the HIM Director privacy complaints and breaches related to ROI.
Serves as the primary contact for physician inquiries related to record amendments, corrections, clarifications and HIM-related matters.
Reviews amendment requests with providers and clinical staff to validate and implement requested changes while documenting the process. Documents all communication with physicians related to amendment requests.
Qualifications:
Bachelor's degree or Associate degree in health information management or equivalent years of work experience.
Certification in Health Information Management (e.g., RHIA or RHIT) preferred but not necessary.
Minimum 3-5 years of experience in HIM or a related compliance role.
Strong knowledge of HIPAA and other regulatory requirements.
Excellent communication, organizational, and problem-solving skills.
Familiarity with ROI processes and HIPAA regulations.
Proficiency in Microsoft Office Suite
