Job Summary:
We are seeking a highly skilled CCS Legal Secretary to provide administrative and legal support in our prestigious law firm. This role offers a dynamic work environment within the real estate and entertainment law sectors, supporting partners and associates.
Key Responsibilities:
- Legal & Administrative Support: Provide administrative and legal support for 2-3 partners and associates in a team-oriented environment.
- Document Management: Prepare complex legal documents, correspondence, and filings with the appropriate court or agency.
- Billing & Expense Reports: Coordinate and support billing tasks, including time entry, expense reporting, and client bill editing/reviewing.
- Travel Coordination: Arrange travel accommodations and itineraries for attorneys and team members as needed.
- Client Coordination: Assist in client presentations, meetings, and managing administrative projects related to client service.
- Cross-Department Collaboration: Work closely with Firm resources to delegate tasks and ensure timely project completion.
- Prioritize & Manage Deadlines: Prioritize and manage competing demands and tight deadlines in a fast-paced environment while maintaining high levels of accuracy.
- Team Collaboration: Maintain a consistent physical presence in the office to facilitate an interactive and collaborative environment.
- Overtime: Be available to work overtime as required to meet firm needs.
Requirements:
- Advanced Organizational Skills: Highly organized with the ability to prioritize, coordinate, and delegate tasks effectively.
- Document Editing & Management: Expert proficiency in MS Word and document editing/comparison applications.
- Communication: Excellent written and oral communication skills, with the ability to meet deadlines and handle confidential information.
- Legal Billing & Timekeeping: In-depth knowledge of legal billing practices, including time entry, expense processing, and client billing.
- Technical Proficiency: Advanced proficiency in MS Excel, MS Outlook, MS PowerPoint, and web-based conference/web-sharing tools.
- Court & Agency Procedures: Strong knowledge of relevant jurisdictional/court/agency processes and procedures.
- Collaboration & Coordination: Proven ability to collaborate effectively with other firm-wide departments and resolve conflicts to deliver quality results.
Qualifications:
- Bachelor's degree (preferred)
- At least 4 years of legal secretarial experience or relevant legal experience (required)
- Experience in real estate or entertainment law (preferred)
- Proficiency in eFiling, billing, and travel coordination (required)
