Are you a detail-oriented, organized, and proactive professional looking to grow within the real estate industry? We are a dynamic and growing real estate development company seeking a full-time Administrative Assistant / Receptionist to join our on-site team. This role is essential in providing exceptional customer service and administrative support within our office. The ideal candidate will possess strong clerical skills, be proficient Windows office, detail oriented and have a friendly demeanor to create a welcoming environment for clients and visitors.
Responsibilities
You’ll be the backbone of the office, keeping things running smoothly and supporting the team in a wide range of tasks, including:
- Welcoming clients and handling calls, emails, and correspondence with professionalism
- Scheduling appointments, organizing files, and maintaining efficient office workflows
- Maintain and organize all company documents, both physical files and digital records, ensuring easy access, confidentiality, and up-to-date information across all departments
- Coordinating tenant move-ins/outs, lease signings, and ongoing tenant communications
- Supporting our founder and president with reports, recordkeeping, and day-to-day tasks
- Assisting the accounting team with rent collection, bill tracking, and document preparation
- Managing digital databases, vendor relationships, and office supply procurement
- Handling general property management tasks: scheduling repairs, communicating with tenants, tracking leases and rent payments, and coordinating with contractors
- Preparing tenant notices and general administrative documents
- Troubleshooting issues and escalating as needed
Required Skills & Qualifications:
- Strong multitasking and organizational skills
- Bilingual – Fluent in both French and English (spoken and written)
- Exceptional written and verbal communication skills
- Detail-oriented and self-motivated
- Confident working independently and taking initiative
- Comfortable with Microsoft Office ( Word, Excel, etc.)
- Problem-solver who adapts easily to change
- Experience in real estate, property management, or accounting is a strong asset
- Familiarity with Yardi or other real estate software is a plus
Please note: This is a 100% in-office position. Remote work is not available.
