About
We are looking for a detail oriented Virtual Assistant who can help extract and process real estate data from the CoStar platform and prepare it inside Google Sheets for marketing use.
This role requires accuracy, speed, and strong attention to detail. You will be working with structured SOPs and must follow instructions exactly.
What You Will Do
You will process multiple real estate data segments separately inside Google Sheets.
Data segments include:
Multi family
Office
Industrial
Retail
Flex
Student
Hospitality
Health care
Speciality
Sports and entertainment
For each segment, you will:
Export the correct dataset from CoStar
Upload and convert the file into Google Sheets
Add required columns and format the structure
Extract true owner and property manager contact information
Copy email and mobile phone numbers into the correct columns
Format names into first and last name fields
Ensure the sheet matches the required structure exactly
You must ignore fax numbers and only capture mobile numbers when available.
Requirements
Strong experience with Google Sheets
Ability to follow detailed SOPs exactly
Fast and accurate copy paste work
High attention to detail
Experience with CRM data or real estate databases is a plus
Comfortable working with structured workflows
Average target speed is about 30 seconds per property when extracting contact details.
Deliverables
Clean and formatted Google Sheets
Correct contact information in all required columns
Files organized and uploaded to the correct shared drive folders
