Job Description
We are a roofing and construction company based in the United States that works with multiple contractors and crews. We are looking for a reliable bilingual virtual assistant (Spanish/English) to help coordinate communication between our company, contractors, and field crews.
This role is very important to our daily operations. You will help ensure that our crews know where they need to go, when they need to be there, and what information they need for each job.
You will be responsible for organizing schedules, creating job communication groups, and keeping everything organized so our projects run smoothly.
We are looking for someone who is very organized, detail-oriented, fast with communication, and able to manage multiple jobs at once.
Responsibilities
• Create and manage daily job schedules for multiple crews
• Communicate with contractors and crews in Spanish and English
• Create group chats (WhatsApp or similar) for each project
• Send job information including:
job address
start time
job details
permits or documents crews must print
• Assign crews to jobs and ensure scheduling is accurate
• Keep notes and job details organized
• Update spreadsheets or scheduling tools
• Confirm crews received instructions and understand their assignments
• Send updates if schedules change
• Occasionally communicate by phone if necessary
Requirements
• Fluent English and Spanish
• Strong attention to detail
• Highly organized and reliable
• Able to handle multiple jobs and crews at the same time
• Fast communicator
• Comfortable using:
WhatsApp
Google Sheets / Excel
Email
Online scheduling tools
• Experience with construction scheduling, dispatching, or coordination is a plus.
Contract duration of 3 to 6 months. with 30 hours per week.
