About this Role
The Project Coordinator supports the successful delivery of heavy civil construction projects from bid stage to completion. This role works closely with senior management, Project Managers, Superintendents, subcontractors, and clients to assist with estimating, budgeting, contract administration, and day-to-day project coordination to help ensure projects are completed safely, on time, and within budget.
Key Responsibilities:
Estimating & Pre-Construction Support
- Assist in evaluating and preparing projects for tender submission.
- Complete quantity take-offs and solicit pricing from subcontractors and suppliers.
- Help compile and organize tender documents for submission.
- Assist in developing preliminary budgets, schedules, and project execution plans.
- Support the preparation and pricing of change orders and extras.
- Track and update project cost information throughout the project lifecycle.
Project Coordination
- Support pre-construction meetings and coordinate communication between clients, consultants, subcontractors, suppliers, and internal site teams.
- Prepare and administer subcontracts (CCDC), purchase orders, permits, and utility locates.
- Review and track shop drawings and maintain project documentation.
- Conduct regular site visits to monitor progress, documentation, safety compliance, and alignment with project specifications.
- Assist with scheduling labour and equipment in collaboration with the Superintendent.
- Support monthly progress billings, cost approvals, and budget tracking.
- Help identify potential risks or schedule impacts and communicate updates to management.
- Promote and uphold company and legislative health and safety standards on all sites.
- All other duties and responsibilities as assigned.
Education and Experience Requirements
- Post-secondary education in Civil Engineering Technology, Construction Management, or a related field.
- 2–5 years of experience in heavy civil construction in a Project Coordinator or Estimating support role (water and sewer experience is an asset).
- Working knowledge of construction contracts (CCDC), budgeting, cost tracking, and subcontractor coordination.
- Proficiency in Microsoft Office (especially Excel) and MS Project; AutoCAD is an asset.
- Strong organizational, analytical, and blueprint reading skills with the ability to manage multiple priorities in a fast-paced environment.
- Effective communication skills and a demonstrated commitment to health and safety standards.
Physical/Sensory Effort and Work Environment
- You work outdoors and on-site in challenging weather conditions, beneath heavy equipment, and may be required to travel.
- You handle multiple deadlines and may need to sit or stand for extended periods.
- You provide services to multiple people and departments, with overtime required based on project demands.
