Job Description:
Position Purpose:
The Donor Services Coordinator plays a key role in advancing The Salvation Army's fundraising success by delivering an exceptional, donor‑centered experience. This position strengthens revenue growth by accurately processing gifts, managing monthly giving, and ensuring timely acknowledgments, financial reconciliation, and reporting. Through seamless operational support to annual, major, and planned giving teams, the Donor Services Coordinator helps build trust, enhance donor retention, and empower the organization's mission.
Key Accountabilities:
Coordinate donor receipting, tribute gifts, acknowledgments, and inquiries to ensure a seamless, donor‑centered experience.
Manage donor communications across shared inboxes and national call‑center inquiries, maintaining accurate and updated records in Raiser's Edge NXT.
Support Development Officers by conducting donor and prospect research, preparing reports, and contributing to campaign strategies and stewardship activities.
Monitor philanthropic trends and donor insights to inform fundraising approaches and strengthen relationship‑building efforts.
Execute financial and administrative tasks—including deposits, data entry, calendar management, and report generation—to ensure operational accuracy and compliance.
Maintain departmental organization by coordinating meetings, schedules, mailings, and key stewardship or reporting deadlines.
Administer the national monthly giving program by processing recurring gifts, resolving payment issues, updating donor records, and collaborating with Finance for reconciliation and CRA compliance.
Perform additional duties as needed to support donor services continuity, team operations, and high‑quality donor stewardship.

Education and Experience Qualifications:
Post-secondary diploma of two (2) to three (3) years' in a related field or relevant experience equivalent
Three (3) years' of experience in donor relations or customer service, using Raiser's Edge NXT or a similar Customer Relationship Management system.
Prioritize and manage multiple tasks and competing demands effectively in a fast‑paced environment.
Demonstrate strong organizational, administrative, and communication skills with clear written and verbal professionalism.
Maintain a high level of accuracy and attention to detail across all tasks and donor‑related activities.
Apply exceptional data‑entry skills and solid knowledge of fundraising software to ensure reliable and efficient record management.
Respond to donor inquiries promptly with a friendly, diplomatic, and donor‑centric approach while upholding policy and regulatory compliance.
Utilize advanced proficiency in MS Office, including Excel and Word, to support reporting, documentation, and administrative workflows.
Resolve issues using strong analytical and problem‑solving skills rooted in a donor‑focused mindset.
Uphold high standards of integrity, judgment, confidentiality, and commitment to The Salvation Army's mission, values, and ethical fundraising principles while pursuing ongoing professional development.
Working Conditions:
This is a regular part-time position based on 25 hours per week.
Work is typically performed in an office environment with some warehouse work.
Able to adopt a flexible work schedule during peak and/or seasonal times.
This job requires reaching, bending, and stooping, working in a sitting, and standing in a position for periods of time.
Requires standing, bending, twisting, keyboarding, and sitting for extended periods of time.
Requires the ability to lift/move objects/materials up to 39 lbs.
Requires some local travel (5%) for donor collections or deliveries using a TSA program vehicle.
Normal hours of work: 7:30 a.m. to 2:15 p.m. based on 4 days a week and includes a ½ hour unpaid meal break. The working conditions are such that some flexibility in scheduling is required as it relates to hours of work and work schedule.
This position is 25 hours per week, with a pay range of $30,264 – $37,830 – $45,396. Please note that the compensation range listed below reflects a 40-hour work week.
Compensation:
The target hiring range for this position is $48,428.77 to $60,535.97 with a maximum of $72,643.16.Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
