About

Acadian Construction is looking for an Executive Assistant to support our CEO and help drive daily operations forward. This is not a traditional reactive support role. We are looking for someone who brings structure, accountability, and confident follow through. You are organized, assertive, and comfortable keeping priorities on track in a fast-paced environment.
You will protect the CEO's time, create clarity around priorities, and help ensure that key initiatives continue to move forward.
This position is based in our Halifax office and combines executive support with front desk responsibility. As the first point of contact for clients and visitors, you will represent Acadian Construction with professionalism and warmth while ensuring the office runs smoothly and maintains a polished, welcoming environment.
Responsibilities
Manage a complex executive calendar, coordinate meetings, and organize shifting priorities.
Prepare agendas, meeting materials, take notes, and track follow up actions.
Support inbox management by filtering, prioritizing, and drafting professional correspondence.
Coordinate travel arrangements, itineraries, and related logistics.
Maintain strict confidentiality while handling sensitive information.
Welcome clients and visitors at the Halifax office front desk, ensuring a professional first impression.
Order and manage office supplies and coordinate courier shipments to support day to day operations.
Provide administrative support to the entire Halifax office, including document preparation, hospitality for meetings, office coordination, and additional tasks that support the management team and employees.
Assist with special projects, internal initiatives, presentations, and reporting as required.
Take ownership of tasks that keep the executive and broader team operating efficiently.
Provide occasional support for marketing initiatives and company communications as needed.
Qualifications
Postsecondary diploma in administration, management, office administration, or a related field, or an equivalent combination of education and experience.
Minimum of 3 years of experience in an executive or senior administrative support role supporting senior leaders.
A highly proactive approach, you're comfortable taking charge, nudging the CEO when needed, and keeping priorities moving.
A firm, confident communication style with the ability to organize, redirect, and push for follow-through.
Strong organizational skills and comfort managing shifting priorities.
Excellent written and verbal communication abilities.
High level of discretion, professionalism, and emotional intelligence.
A proactive mindset with the ability to anticipate needs.
Experience supporting senior leaders or executives, ideally in a construction or professional‑services environment.
Strong proficiency with digital tools such as Outlook, Teams, and document management systems.
