Overview:
At Pembina, we believe that safe and efficient operations start with strong coordination, clear communication, and a professional first point of contact. As an Administrative Assistant at PKM Canada Marine Terminal LP (Vancouver Wharves Terminal), you will serve as the front‑line interface for the terminal, supporting daily operations by ensuring people, information, and processes flow smoothly and safely.
This role is part of the Natural Gas Liquids Business Unit (NBU) within Pembina's Operations Division and reports to the Manager, Berth Operations. Located in one of the busiest port cities in North America, Vancouver Wharves is one of the largest terminals on the West Coast, handling both liquid and bulk products including mineral concentrates, diesel, sulphur, and grain products on behalf of customers.
As the primary front desk presence, the Administrative Assistant plays a critical role in welcoming visitors, contractors, and customers to the site, reinforcing Pembina's safety culture, and ensuring all arrivals are appropriately coordinated, documented, and directed. Beyond reception, this role enables terminal operations by supporting operational readiness, knowledge continuity, and administrative coordination across teams and shifts.

Responsibilities may include but not limited to:
Operational & Administrative Coordination
Serve as the primary front desk and first point of contact for the terminal, welcoming visitors, contractors, and customers in a professional, safety focused manner.
Provide day-to-day administrative coordination in support of terminal operations, ensuring smooth information flow and operational continuity.
Support Operations with accurate administrative and data entry activities related to truck, rail, and vessel movements.
Provide general administrative support to Supervisors and Operations leadership to enable effective execution of daily activities.
Knowledge Management & Operational Readiness (PKM)
Maintain and manage operational and administrative documentation, schedules, and records to support knowledge continuity, compliance, and audit readiness.
Coordinate and distribute key operational communications, including visitor, contractor, and on call information.
Maintain safety, training, and orientation records in support of operational readiness and regulatory requirements.
Support records management and retention processes, including preparation of documents for off site storage.
Safety, Quality & Compliance Support
Support Pembina's "Zero by Choice" safety culture through disciplined documentation, communication, and administrative support.
Maintain PPE inventory and support visitor and contractor readiness at the site.
Record and distribute meeting minutes and follow-up documentation for safety and compliance related meetings.
Support adherence to corporate, local, and regulatory requirements through accurate record keeping.
Financial & Office Services Support
Perform routine financial and procurement administration in accordance with established processes.
Coordinate office services, meeting logistics, and supplies to support a functional and professional terminal environment.
Collaboration & Continuous Improvement
Support internal initiatives and employee engagement activities as required.
Identify opportunities to improve administrative, documentation, and information flow processes.
Contribute to an equitable, diverse, and inclusive workplace through respectful and collaborative interactions.
Demonstrate learning agility by adapting to changing operational priorities, incorporating feedback, and continuously improving administrative and information management practices to support terminal operations.
Qualifications:
Relevant, related experience in an administrative, coordination, or operational support role, ideally within an industrial, terminal, or operations focused environment;
Strong proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook) and working knowledge of SAP or similar enterprise systems;
Demonstrated ability to manage records, documentation, schedules, and operational data with a high degree of accuracy and attention to detail;
Strong organizational and time management skills, with the ability to manage multiple priorities in a dynamic, operational environment;
Proven ability to work independently while collaborating effectively with Operations, Safety, and Administration teams;
Professional, clear, and courteous communicator with a strong customer service and service and stakeholder service‑service and stakeholder‑focused mindset;
Adaptable and resourceful problem solver who demonstrates ‑solver who demonstrates learning agility, embraces change, and seeks continuous improvement; and
