About
We need an expert to lead our migration to HubSpot CRM while integrating Current RMS for ERP/rental data, CallRail for call tracking, and Dialpad for VoIP communications. The objective is to centralize client data, automate workflows, and enhance reporting for a fractional CFO/accounting services environment.
**Responsibilities:**
- Assess current CRM/ERP/telephony setup and design a migration and integration plan.
- Map and migrate data into HubSpot (contacts, companies, deals, activities, and relevant custom fields).
- Configure sync between HubSpot and Current RMS for customers, opportunities, quotes, and rental data using native or approved connector tools.
- Integrate CallRail so calls, texts, and form submissions log correctly to HubSpot contacts and deals with appropriate source/attribution.
- Integrate Dialpad for in-HubSpot calling/SMS, ensuring calls and messages log as activities and can trigger workflows.
- Perform testing, data validation, and troubleshoot integration issues.
- Document the setup and provide light training or loom-style walkthroughs for our internal team.
**Requirements:**
- Demonstrated experience with HubSpot CRM migrations and integrations.
- Hands-on experience with at least two of: HubSpot + Current RMS, HubSpot + CallRail, HubSpot + Dialpad (or similar telephony/ERP integrations).
- Strong data mapping and data hygiene skills (merging duplicates, field normalization, etc.).
- Comfortable working with integrations via native apps, APIs, or third-party connectors (e.g., Zapier, Make, Data Sync, or similar).
- Clear written and verbal communication and ability to work with an accounting/finance-focused operations team.
**Preferred Qualifications:**
- Experience with service-based or project-based businesses, preferably multi-entity or multi-location.
- Prior work optimizing HubSpot pipelines, properties, and basic automation for sales and client success.
- Availability during US Pacific Time business hours for periodic check-ins.
**Project Scope:**
This is a defined-scope engagement covering: discovery, migration planning, initial data migration, configuration of the three key integrations (Current RMS, CallRail, Dialpad), testing/validation, and short-term post-go-live support. There may be follow-on work for additional automation and reporting.
