About

Hi, I'm looking for an experienced email marketing and CRM specialist to help set up and then ongoing manage our system. This is a two-phase engagement — initial setup followed by a monthly retainer for the right person.
About us
Charity Fleetcare is a UK-based fleet management company working exclusively with charities and Community Interest Companies (CICs). We help them access public sector pricing on vehicle leasing, insurance, and fleet management — typically saving 20-27% versus commercial rates. We're a small, focused operation and we need a reliable specialist who can own this function for us.
Phase 1 — Setup (one-off)
Brevo account & domains
Set up a new Brevo account and connect three domains: (main domain, warm outreach), and (cold outbound). Full DNS configuration on all three (SPF, DKIM, DMARC). The two outbound domains need warming up before any cold campaigns go live — please include your recommended warm-up approach, tool, and timeline in your response.
Contact import & segmentation
We have an existing contact base in Excel. Import into Brevo and create custom attributes so contacts can be tagged by organisation type (charity, CIC, etc.) and lead source. We'll provide the spreadsheet with classifications pre-mapped.
Pipeline setup
Configure the Brevo CRM pipeline with the following 9 stages: New Lead → Contacted → Qualified → Nurture → Proposal Sent → Negotiation → Trustee Sign-Off → Won → Lost. Add a Lead Source attribute on deals so we can track how each one entered the pipeline (email marketing, cold outreach, referral, direct etc.).
Booking link & automation
Set up the Brevo native booking link for our sales person and configure it so that when someone books a meeting it automatically creates a deal in the pipeline at New Lead stage and tags the contact with the appropriate lead source.
Email campaigns & automations
Three things to build:
A 3-email sequence for our existing warm contact base — plain text, delivered over a set period with correct delays and stop-on-reply logic. We provide all copy.
A cold outreach campaign framework tied to the outbound domains, structured so we can swap messaging for different audience segments (charities vs CICs) without rebuilding the workflow.
A branded monthly newsletter template — reusable, our colour scheme (teal and navy), logo in header, unsubscribe footer compliant with UK GDPR.
Phase 2 — Ongoing monthly management (retainer)
Once the system is live we need someone to manage it on an ongoing basis. This includes:
Monthly strategy call with us mins) to review performance and agree messaging for the coming month
Pulling prospect data from and uploading into Brevo with correct segmentation
Managing and optimising live email sequences — monitoring open rates, reply rates, and making copy and timing adjustments
Sending the monthly newsletter — we'll provide content direction, you populate the template, test, and send
Keeping the CRM pipeline clean — ensuring deals are in the right stages and lead source data is accurate
Reporting — a simple monthly summary of what went out, what performed, and what we're changing
We're looking for someone who can think strategically about messaging and audience, not just execute tasks. Our sector is niche — charities and CICs have specific language, values, and decision-making structures (including trustee sign-off on procurement decisions) and we need someone who can get under the skin of that with us over time.
We're using as our B2B data source. Have you worked with it before? We'll be exporting prospect lists and uploading into Brevo. Is there a smarter way to automate that flow or is CSV upload the most practical approach at our volume?
A few questions before we connect
Have you set up Brevo from scratch including DNS configuration and domain warm-up before?
Have you managed cold outbound sequences on a separate sending domain?
Would you personally be handling this work, or would it be managed by your team?
Do you have experience working with UK-based B2B clients in a niche or specialist sector?
We'll provide all email copy, brand assets, spreadsheet data, and DNS access. Happy to jump on a short call to talk through the project before agreeing scope.
Contract duration of 3 to 6 months. with 40 hours per week.
