What is the opportunity:

The Administrator plays a key role in ensuring efficient day-to-day operations of the Careers in Energy Department. The Administrator supports members of the department by providing overall administrative support in the implementation, maintenance and execution of projects, programs and services. 

What will you do:

  • Support project activities by developing systems to track deliverables, gather performance metrics, and ensure proper storage and retention of documents.
  • Supports team members and project partners by developing systems to track project-related financial reporting including invoice tracking and processing, expenses tracking and reconciling, in-kind contributions, subscriptions.
  • Provides technical support with virtual reality equipment maintenance, updates, storage and shipping. Maintains CIE assets and storage room.
  • Administers the upkeep of the department's OMM and department SharePoint site, provides support with document control and management. Including content review for quality assurance.
  • Coordinates meetings, assists with logistics, meeting packages and participates in events, conferences, tradeshows, workshops and other business activities, as required.
  • Responds to phone, website or email inquiries and directs them to team members. Order office supplies and business cards as required.
  • Supports the development of proposal budgets, including the supporting contract management processes such as RFI, RFP, and contract initiation forms.
  • Other duties as required

What you need to succeed:

  • Post-secondary education in Business Administration or related field is preferred
  • 5+ years of administrative experience, including work with accounting-related processes
  • Strong Microsoft Office skills
  • Experience with editing and proofing various documentation is an asset
  • High degree of accuracy and attention to detail
  • Exemplary interpersonal skills and exceptional verbal and written communication skills, ability to communicate in both official languages (English and French) is preferred
  • Excellent time management and organizational skills
  • Well organized and able to handle multiple tasks quickly and accurately
  • High energy, flexible and has a willingness to take initiative 
  • Demonstrates creativity and ability to rely on experience and knowledge to make decisions confidently
  • Demonstrated good customer service skills
