We are currently hiring for the position of:

COORDINATOR, SUBMISSIONS 

Reporting to the Manager, Submissions, this position is responsible for administrative tasks relating to film submissions and festival operations for the Toronto International Film Festival. This position works in collaboration with internal teams to ensure exceptional service, support, and administrative processes for filmmakers and applicable external stakeholders. 

RESPONSIBILITIES:

  • Receive, process, and catalog all Festival submissions

  • Create and maintain accurate database records

  • Perform weekly eligibility audits for Festival submissions

  • Communicate clearly and effectively with submitters, provide prompt and exceptional service, information, and troubleshooting advice

  • Ensure that submissions are reviewed and directed to the appropriate member of the Programming team for consideration in a timely manner

  • Track and manage submissions for programming screening trips

  • Work with Programming team to track and communicate verdicts for film submissions

  • Assist with disseminating official notification letters

  • Assist with collection and data entry for Official Selection films and statistic collection for film submissions

  • Assist with coordinating schedules, reservations, and logistics for filmmaker cocktails, events, and hosting opportunities during Festival

  • Compile & circulate invitation lists for Festival events, send event invitations, manage RSVPs and ticket requests

  • Onsite support for Festival events to ensure events run smoothly, support with guest list maintenance and troubleshooting

  • Assist with other Festival initiatives and Festival Programming team responsibilities as required

  • Compile a detailed post-mortem report

JOB GRADE & SALARY:

  • Job Grade 1

  • $23/hour

TARGET CONTRACT DATES:

  • Monday, March 16, Monday, September 21, 2026

WORK LOCATION:

  • Office Location: 350 King Street West, Toronto, ON M5V 3X5

  • Weekly in-office requirements: 

    • Minimum 2 days (November to April)

    • Minimum 3 days (May to October) 

  • Festival Office Requirements: Full Time during Festival

MINIMUM REQUIREMENTS:

  • Minimum 1 year administrative or coordination experience 

  • Strong communication and interpersonal skills 

  • Experience handling large volumes of data or information with accuracy

  • Strong organizational and project management skills with extreme attention to detail and ability to prioritize

  • Proficient computer skills, familiarity with databases, CRMs, project management tools, Microsoft Office, Google (experience with Artifax and FilmFreeway considered an asset)

  • Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information

  • Ability to both work independently and in a team environment 

  • Ability to handle challenging situations and people with positive, problem-solving attitude

  • Ability to work, prioritize and respond well in deadline-oriented, fast-paced and high pressure environments 

  • Familiarity with the film industry and international cinema an asset

  • Experience working at a cultural institution or festival an asset
