The Opportunity
We're seeking a detail-oriented Recruiting Coordinator / Administrative Assistant who thrives in a fast-paced environment and has a proactive approach to problem-solving. This role combines recruiting coordination with administrative support, requiring strong technical skills in Bullhorn ATS and LinkedIn Recruiter. The ideal candidate understands the Finance & Accounting industry and ideally has exposure to the Oil & Gas sector.

• Core hours: 9 AM – 5 PM CST (must work within this timezone)

Core Responsibilities
Bullhorn Database Management:
• Maintain accurate candidate, company, and contact records
• Parse resumes and attach documentation to correct records
• Merge duplicate records and manage data quality
• Update candidate workflow status based on recruitment stage
• Reconcile active candidate list with LinkedIn profiles
• Conduct monthly audits of prescreens, interviews, and documentation
Interview & Calendar Coordination:
• Schedule internal interviews and client meetings
• Create detailed interview prep emails with company info, directions, and tips
• Manage calendar appointments for interviews, sendouts, and client visits
• Document all interview notes and communications in Bullhorn
Candidate Sourcing & LinkedIn Management:
• Monitor LinkedIn messages and document important conversations
• Create LinkedIn projects and add qualified candidates to pipelines
• Send InMail messages as directed
• Audit LinkedIn profiles and update Bullhorn when candidates change positions
Client Submission Support:
• Prepare client-ready resumes with proper formatting and company branding
• Submit candidates to appropriate job orders
• Organize and maintain files in Dropbox and Bullhorn
Communication & Reporting:
• Provide daily/weekly status updates on tasks and priorities
• Submit ongoing lists of candidates pending scheduling
• Maintain job leads list and document business development activities
Required Qualifications
• Recruiting experience (recruiting coordinator, sourcer, or similar role)
• Virtual assistant experience with strong administrative skills such as calendar management
• Proficiency in Bullhorn ATS (or similar applicant tracking systems)
• Advanced LinkedIn skills including Recruiter experience
• Excellent English communication skills (written and verbal)
• Strong project management abilities with capacity to juggle multiple priorities
• Exceptional attention to detail – accuracy is critical in this role
• Proactive approach to problem-solving and task completion
• Availability to work CST hours (9 AM – 5 PM)
Preferred Qualifications
• Understanding of Finance & Accounting roles and terminology
• Familiarity with Oil & Gas industry
• Experience AI and Dropbox
• Knowledge of Big 4 public accounting firms and career progression
Success in This Role Means
• Maintaining pristine database accuracy and job / candidate workflow
• Ensuring all interviews are properly scheduled with complete documentation
• Providing timely status updates without needing multiple follow-ups
• Taking initiative to identify and resolve issues before they become problems
• Contributing to successful placements through excellent coordination and follow-through
Our Work Style
We value accountability and consistent communication. When a task is assigned, we trust it will be completed without constant follow-up. We expect regular status updates and proactive communication when priorities shift or challenges arise. Urgent items (especially sendouts) need to be managed as soon as possible, which is why reliable availability during core hours is essential.
Contract duration of more than 6 months. with 40 hours per week.
