Position Title: Guest Services Assistant - Retail
Reports To: Camp Office & Registration Coordinator
I. Scope and summary of primary responsibilities
The Guest Services Assistant – Retail supports the Guest Services Team in operating the tuck shop, online store, transportation logistics, and guest communication. Key duties include managing retail operations and inventory, fulfilling online orders, completing cash counts and DCRs, and ensuring POS accuracy. The role also coordinates on-site transportation materials, communicates schedule updates and organizes meal allowances. Plays key role in maintaining signage and accessible wayfinding, routes incoming mail, and assists with general guest inquiries. This position works closely with the management team to ensure efficient operations and a positive guest experience.
II. Essential functions
Serve as a primary point of contact for guests at Reception and the Tuck Shop, providing professional, welcoming, and timely service. Support all front-facing Tuck Shop operations and guest interactions. Process, package, and ship online orders or prep pickup ordersin a timely manner. Monitor inventory levels, maintain alignment between online and in-person inventory stock, and track loss. Oversee daily cash handling, including end-of-day till counts and reconciliation as required. Prepare weekly Non-Development DCR reports. Enhance Tuck Shop signage, displays, and overall merchandising. Act as a liaison with the transportation team. Pull and analyze transportation reports from Camp Brain to support planning and operational decision-making. Assemble, update, and distribute driver binders containing schedules, contact information, procedures, and required trip documentation. Assist with communication of travel plans, itinerary updates, and transportation details to guests promptly and accurately. Verify authorized pickup contacts for underage guests and support all related sign-off and verification procedures. Manage transportation-related petty cash, including the collection, recording, and reconciliation of receipts. Monitor and respond to participant emails and phone calls, provide information, resolve inquiries directly, or document messages for managerial follow-up. Maintain clear, high-contrast, and accessible signage throughout the welcome center. Maintain office supplies, equipment, and filing systems to ensure efficient day-to-day operations. Deliver daily program announcements and address guest questions, escalating issues asappropriate. Perform general administrative duties such as data entry, filing, photocopying, and document organization. III. Qualifications
Knowledge and Skill Requirements
Excellent customer service skills and the ability to multitask. Planning, organization and time management skills. Strong interpersonal skills, including patience and communication. Proficient user of Microsoft Office and Office 365 including word processing and experience working in a database environment including queries. Experience working in an office setting is an asset. Experience using a POS (point of sale system), an asset. Experience using SQUARE tools, an asset. Knowledge ofCampBrainsoftware, an asset. Current (within 6 months of start date) Vulnerable Sector Police Record Check Current Standard First Aid and CPR-C Experience and Education
Experience working with, or willingness to learn about, our target populations. Enrolled in are cognized Business Certificate Program, or equivalent job-related experience. Administrative, retail and operational experience an asset. Work Environment
Must reside at CNIB Lake Joe during operational season and be willing to share accommodations with other staff member. This position may require the ability to work occasional overtime/flex time.
