LOCATION: Remote (4-5 hours overlap with 09:00 – 18:00 CET)
COMMITMENT: 30+ hours per week
THE MISSION
We are seeking a Technical Operations Coordinator to be the operational heartbeat of our firm. Your mission is Ops Excellence: ensuring our data is flawless, our processes are followed, and our team stays disciplined.
You will handle the day-to-day "heavy lifting" of operations—from time-tracking and resource planning to invoicing and budget categorization. We are looking for a highly organized professional who possesses the technical affinity to automate repetitive tasks, build insightful dashboards, and collaborate with the Head of Ops to maintain a world-class data ecosystem.
CORE RESPONSIBILITIES
1. Data Governance & Operational Discipline
Time-Tracking Management: Monitor team time-logs daily. Ensure the team understands the why behind time-tracking and proactively follow up with team members to ensure 100% compliance.
ERP Maintenance: Act as the guardian of our "Source of Truth." Categorize expenses, update project budgets, and monitor the deal pipeline to ensure all data is audit-ready for invoicing.
Resource Monitoring: Maintain a real-time pulse on team capacity. Coordinate with Project Leads to ensure resource plans are updated and every team member is effectively utilized.
2. Business Intelligence & Automation
Visual Reporting: Use SQL and Google Sheets to maintain and design dashboards (Looker Studio/Tableau) that track team utilization, project health, and profitability.
Workflow Automation: Identify manual friction points and eliminate them. Use low-code platforms (n8n, Zapier, Make) to build automated notifications, data syncs, and "self-healing" processes.
Systems Administration: Serve as the primary admin for our software stack—managing user lifecycles (onboarding/offboarding), software subscriptions, and access permissions.
3. Knowledge Management & Stakeholder Support
Process Documentation: Maintain our internal Knowledge Management platform (Wiki/Notion) to ensure all operational policies are documented and accessible.
Internal Support: Act as the first point of contact for the team regarding operational tools and technical troubleshooting.
QUALIFICATIONS
- Experience: 2+ years in an operations, project support, or administrative role. Agency or startup experience is a significant advantage.
- Technical Proficiency: A "Google Sheets Power User" who understands data structures. Basic knowledge of SQL is required, along with a strong desire to master low-code automation (n8n/Zapier).
- The "Relentless" Mindset: You have a high degree of "extreme ownership." You aren't afraid to hold stakeholders accountable to ensure data accuracy.
- AI-Native: You actively use AI tools (ChatGPT, Claude, etc.) to write formulas, analyze data, and accelerate your daily output.
