As a Project Coordinator, a typical day might include:

Executive Administration

  • Maintaining the Senior Vice President's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Overseeing full-cycle travel requirements including booking flights, hotels, and any necessary transportation
  • Attending BSAA managers' meetings and other meetings as directed by the Senior Vice President, taking minutes and following up on Senior Vice President's and Directors' deliverables
  • Preparing drafts of business materials including research, content, and electronic presentations
  • Preparing, formatting, and proofreading confidential correspondence; briefing materials; speaking and presentation materials; proposals; business plans; strategic documents; and other external and internal reports
  • Organizing and prioritizing the Senior Vice President's workflows, files, tasks, and deliverables
  • Providing executive administrative support to department Directors as directed by the Senior Vice President
  • Working with the Senior Vice President and Directors/Managers to ensure that department management team is kept up to date on latest corporate developments, Senior Management Team (SMT) updates, department updates, etc.
  • Working in to ensure meeting notes are up to date; organize tasks, workspace, and boards; and monitor Senior Vice President's progress towards OKR completion
  • Other duties as directed

General Administration

  • Collaborating with department management team to organize team building events
  • Working with various reports in Excel format, as instructed
  • Assisting Directors in their various initiatives, as directed
  • Drafting departmental emails
  • Attending and take notes at insurer meetings, as required
  • Creating tutorials for various departmental platforms and tools
  • Other duties as directed

Project Coordination

  • Coordinating departmental projects
  • Coordinating department-led initiatives and optimization projects
  • Working with internal and external stakeholders to coordinate all aspects of each project
  • Attending project meetings, taking minutes and following up on deliverables
  • Developing and maintaining various checklists, as well as checking in with project stakeholders and monitoring the progress for all departmental projects

Must Haves:

  • 3-5 years experience in project coordination/management, in particular managing multiple simultaneous projects and consistently meeting internal core competencies
  • Post-secondary degree and/or Project Management certification considered an asset; and/or equivalent experience
  • Experience using EPIC broker management system, considered an asset
  • Commercial insurance industry experience, considered an asset
