Position Overview:
We are currently looking for an Executive Assistant to join and be an integral part of our fast-growing team. Supporting the President, this position plays a critical role in enhancing the productivity and efficiency of the executive office. This individual will provide high-level administrative support, managing scheduling, executive communications and ensure the President is prepared for all business activities. The ideal candidate is extremely detail oriented, adaptable, thrives in a fast paced environment and has proven experience in a business management role, acting as an operational anchor to the executive team.
Key Responsibilities:
Manage the President's calendar, appointments, travel arrangements and meeting schedules to ensure the most efficient use of time
Act as the Primary point of contact between the President, department managers, customers, suppliers and other stakeholders
Prepare meeting agendas, presentations, briefing documents and follow-up notes
Screen, prioritize, and respond to emails, calls and correspondence.
Maintain a high level of confidentiality and professionalism, handling sensitive information with discretion
Support project coordination and logistics for company initiatives, events, strategic planning and customer visits
Anticipate needs and proactively seek opportunities to refine, optimize processes and improve time management
Provide support for personal schedule and commitments when necessary
Other duties as assigned
Physical Demands
Sedentary office-based role with prolonged periods of sitting at a desk, approximately ¾ or more of day
Visual acuity to perform activities including but not limited to analyzing data and figures, viewing a computer screen and extensive reading required.
Substantially repetitive movements of the arms, wrists, hands and/or fingers; ability to consistently operate standard office equipment
Walking short-distances in the office and warehouse, approximately ¼ or less of day
Regular travel by car between Toronto and Hamilton site locations; ability to commute safely with flexibility to handle changes in travel schedule and work location; must have access to own vehicle in good working condition
May be required to wear Personal Protective Equipment (PPE), including but not limited to safety shoes and high visibility clothing
Qualifications:
3-5 years' experience as an Executive Assistant or similar role supporting senior-level executives in fast-paced environment
Demonstrated track record of handling complex schedules, competing priorities, and high stakes responsibilities
Exceptional ability to anticipate needs, think ahead and proactively solve problems before they escalate
Strong attention to detail and organizational skills; proven ability to manage multiple projects and prioritize effectively and efficiently
Demonstrated ability to handle confidential and sensitive information with the utmost integrity
Highly comfortable working closely with an executive who maintains an ambitious pace and expects excellence
Experience working in a unionized environment considered an asset
Experience in the Construction, Distribution or Manufacturing industry is strongly preferred
Computer literacy with proficiency in Microsoft Office and Google Business Suite; willingness and capability to learn new technology systems
A high level of initiative with a "can-do" attitude and a solution focused approach
Excellent verbal and written communication skills; confident in interacting with key leaders, customers, suppliers and industry partners
Strong collaborative team player who excels in a fast-paced and dynamic work environment
Work Location:
605 Fenmar Drive, North York and 1320 Stone Church Rd. E., Hamilton. Flexibility in selecting main work location based on successful applicant's location.
Fully in-office position, both locations noted above
