Executive Assistant to Principal Solicitor – Legal & Financial Services (Long-Term Role)

I am the Principal Solicitor of a Sydney-based law firm specialising in financial services, compliance and corporate advisory. I am looking for a highly capable, detail-oriented Executive Assistant to work with me long-term and become a trusted operational partner.
This is not a basic admin role. I need someone who can think ahead, organise complexity, and keep me operating at a high level.
You will be working directly with me across legal practice management, business development, diary management, document coordination, and general executive support.
This role is ideal for someone who:
Has worked as an EA to a lawyer, consultant, founder or senior executive
Is extremely organised and proactive
Communicates clearly and professionally in English
Is comfortable handling confidential and sensitive information
Enjoys structure, systems, and bringing order to busy workflows
Can work independently without constant supervision
Key Responsibilities
Diary and calendar management across multiple matters and time zones
Email management and drafting professional responses
Preparing documents, engagement letters, proposals, and presentations
Coordinating meetings, follow-ups and reminders
Managing task lists and priorities
Assisting with marketing materials, events and conference preparation
Liaising with clients, accountants and other professionals
General executive and practice support
Skills Required
Excellent written and spoken English
High attention to detail
Strong organisational ability
Comfortable with Microsoft Office, Google Workspace, and task management tools
Ability to learn legal workflows quickly
Professional discretion and confidentiality
Initiative — you don't wait to be told what to do
Legal industry experience is highly regarded but not essential if you have supported senior professionals before.
Working Arrangement
Remote, flexible hours
Approx. 15–25 hours per week to start, increasing over time
Long-term engagement preferred
Must be responsive during Australian business hours (AEST)
