About

Our client is a busy CEO of a growing professional services business who requires hands-on, local operational support. Their work involves both business and personal logistics, and they are seeking a highly reliable, execution-focused assistant who can take ownership of day-to-day tasks, reduce friction, and create simple systems to keep things running smoothly.

This is a trusted, in-person role that blends practical execution with independent judgment. The successful candidate will work locally in Kelowna and will occasionally work from the CEO's home office to manage physical mail, shipping, and materials.

The Role: This role is designed to provide high-trust operational support across both personal and business needs. It is not a traditional administrative position. The ideal candidate is hands-on, proactive, and comfortable operating independently across a wide range of tasks.

Personal Operations (Approx. 50%)

  • Coordinate vehicle servicing, maintenance scheduling, detailing, and logistics (including pickups/drop-offs)

  • Run local errands including purchases, returns, and deliveries

  • Collect, sort, scan, and route physical mail

  • Coordinate household and vendor interactions (repairs, deliveries, service providers)

  • Research and book services, appointments, or purchases within approved budget limits

  • Maintain inventory of household and personal supplies

  • Handle miscellaneous execution tasks that free up executive time

  • Document processes and preferred vendors into a simple personal operations playbook

Business Operations (Approx. 50%)

  • Prepare, package, and ship marketing or event materials and swag

  • Scan and deposit checks or manage physical financial documentation

  • Collect, sort, and distribute business mail

  • Coordinate logistics for small operational tasks or office needs

  • Handle light procurement within approved spending authority

  • Support execution related to events or business initiatives

  • Organize and maintain documentation for recurring workflows

  • Build and refine simple SOPs and checklists for repeatable tasks

Systems & Autonomy

  • Document repeatable processes and workflows

  • Create simple SOPs and checklists to enable independent execution

  • Develop sound judgment around cost thresholds, vendor selection, and prioritization

  • Progressively reduce the need for direct instruction

  • Target full operational autonomy within 3–6 months


Requirements
  • Must live locally in or near Kelowna and be available for in-person tasks

  • Valid driver's license and reliable vehicle

  • Comfortable running errands and handling logistics independently

  • Proven ability to work with minimal supervision and strong follow-through

  • Strong organizational and time-management skills

  • High level of discretion and comfort handling both personal and business matters confidentially

  • Basic technical skills (scanning, shipping platforms, email, task tracking, document organization)

  • Ability to prioritize in a fast-moving, sometimes ambiguous environment

  • Experience in operations, executive assistance, logistics, or coordination is an asset
