About

we are seeking a reliable, detail-oriented Virtual Assistant to support daily operations and help deliver an exceptional patient experience. This role is focused on admin support, scheduling, patient communications, and back-office coordination for our primary care + wellness clinic (including medical weight loss, hormone optimization for men & women, IV therapy, and functional medicine). The ideal candidate is proactive, organized, HIPAA-conscious, and comfortable working in fast-paced, patient-facing workflows—while collaborating remotely with our on-site team. Key responsibilities include: managing appointment requests and calendar coordination, eligibilty and benefits check, responding to patient messages/calls/texts, sending reminders and follow-ups, coordinating intake forms and documentation, updating patient records and basic data entry, supporting referrals/prior authorizations coordination as assigned, assisting with reviews and reputation management, handling light billing/admin tasks (as trained), and maintaining clear internal communication and task tracking. Success in this role looks like: fast response times, accurate scheduling, polished patient communication, strong attention to detail, consistent follow-through, and improved clinic efficiency and patient satisfaction. Experience with EHR/PM systems (e.g., Tebra/other), Google Workspace, availity, and CRM/tools .
Contract duration of 1 to 3 months. with 30 hours per week.
