We have a current vacancy for a proactive and detail-oriented Project Administrator to join our team.

Role Summary:

The Project Administrator supports Project Managers and Engineers by coordinating project documentation and communications with both internal and external stakeholders. Serving as a key contact for teams, clients, vendors, and contractors, the Project Administrator, will provide deliverables coordination, document control, and help to keep projects on track. They will also support with internal initiatives that contribute to proposals, projects, and business development efforts.

Key Responsibilities:

  • Provide general administrative support to the project managers and project coordinators including scheduling meetings, taking meeting minutes, organizing travel, and other administrative tasks, as required.
  • Coordinate project document control by maintaining the document register, managing document filing on SharePoint, preparing, and issuing documents both internally and to Clients and Vendors, as required.
  • Facilitate communications between project team members, stakeholders, and other relevant parties under the direction of the project manager, discipline leads, and/or the project coordinator.
  • Assist in the development and maintenance of project documentation, including deliverables lists, technical documents, meeting minutes, reports, and other relevant files.
  • Develop, reformat, and professionalize documents and templates, some of a highly confidential/sensitive nature, with high degree of speed and accuracy.
  • Assist with proposals, as required.
  • Assist with document standards, marketing, and business development activities, as required.

Required Skills, Knowledge, and Abilities:

  • At least 2–3 years of experience in business administration, administrative or project support, or a comparable role. Background in engineering, consulting, or the mining and minerals processing sector is an asset.
  • Strong capability in creating and formatting professional business documents, with advanced proficiency in editing materials using Microsoft Word, PowerPoint, and Excel.
  • Exceptionally organized and detail‑focused, with strong time‑management abilities and the capacity to manage multiple responsibilities while effectively prioritizing workload.
  • Skilled in Microsoft Office tools including SharePoint, OneDrive, Outlook, Teams, and core Office applications (Word, Excel, PowerPoint, etc.).
  • Demonstrates a strong interest and aptitude for adopting new technologies.
  • Familiar with formal document formatting standards, as well as filing and tracking procedures.
  • Able to handle sensitive and confidential information with professionalism and discretion.

The expected pay range for this opportunity: $55,000 - $65,000 CAD

Note:  Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions. Other considerations may include certifications, specialized training, and the complexity or scope of the role.
