Brief Overview
The Executive Assistant (EA) to the Deputy Chief – Self ‑ Government provides high ‑ level administrative, strategic, and operational support to advance the Nation's self ‑ government initiatives. This role ensures the Deputy Chief is supported in governance, community engagement, intergovernmental relations, and administrative responsibilities. The EA manages confidential information, coordinates complex workflows, and acts as a key liaison between leadership, staff, external partners, and community members.
Key Responsibilities
Manage the Deputy Chief's calendar, scheduling meetings, briefings, community engagements, and travel.
Prepare agendas, briefing notes, presentations, meeting minutes, and follow‑up action plans.
Draft, proofread, and format correspondence, reports, and internal communications.
Maintain organized filing systems (digital and physical) ensuring accuracy, confidentiality, and quick retrieval.
Maintain confidential Administration files and databases.
Assist with research, document preparation, and coordination related to self‑government negotiations, legislation, governance frameworks, and policy development.
Track progress of key self‑government initiatives and prepare status updates.
Support the Deputy Chief in preparing for Council meetings, committees, intergovernmental tables, and consultations.
Serve as the primary point of contact for internal departments and ministries, community members, government agencies, and partner organizations.
Coordinate communication flow between the Deputy Chief and stakeholders, ensuring follow‑up and timely responses.
Support community engagement activities, including event planning, logistics, and communication drafting.
Assist in the planning, monitoring, and execution of special projects tied to governance, community development, capacity building, or nation‑to‑nation relations.
Compile and analyze information to support decision‑making.
Track deadlines, deliverables, and required reporting.
Oversee administrative workflows to ensure smooth operations within the Deputy Chief's office.
Manage budget tracking for departmental expenditures, travel, and project‑related costs.
Maintain strict confidentiality of sensitive political, personnel, and community matters.
Performs other related duties as assigned.
Knowledge And Skills
Knowledge of Métis Culture.
Understanding of Indigenous governance structures, self-government processes, ad intergovernmental relations.
Strong communication skills—written, verbal, interpersonal.
Excellent organizational skills with the ability to manage multiple competing priorities.
High discretion, cultural sensitivity, and professionalism.
Strong proficiency in MS Office 365 (Outlook, Teams, Word, Excel, PowerPoint).
Ability to work independently and in a fast‑paced political/administrative environment.
Qualifications
Diploma in Business Administration, Public Administration, Indigenous Governance, Political Science, or a related field.
3–5 years of experience providing executive‑level administrative support.
Experience working with Indigenous governments, self‑government processes, or political leadership is a strong asset.
Additional Requirements
Full-time position: occasional evenings and weekends required.
Participation in community meetings, cultural events, or travel may be required.
High attention to confidentiality and political awareness.
A valid Saskatchewan driver's license and/or access to reliable transportation to our downtown location would be required.
The successful candidate must undergo a Criminal Record Check.
The Travel requirement for this position is 15%
