About
We're looking for an experienced AI Systems Architect to design how our internal systems connect and how our private LLM integrates into that ecosystem.
This is a design and architecture role — not a coding-heavy API implementation role.
What You'll Do
You will design the architecture connecting:
Xero (finance)
HubSpot (CRM)
Jira (execution tracking)
Google Sheets / dashboards
Automation layer (e.g. n8n, Zapier, etc.)
Private LLM / AI system
Your responsibilities:
Map current system architecture
Identify sources of truth
Design clean data flows
Define automation strategy
Design AI integration strategy (RAG, embeddings, live queries vs stored data)
Recommend governance / audit controls (especially for finance data)
Produce architecture diagrams and structured documentation
Support engineers who implement your designs
This Role Is NOT
Not primarily writing integration code
Not basic Zapier setup
Not prompt engineering only
Not data entry automation
You are designing the system. Engineers will build it.
Required Experience
Multi-system SaaS architecture
APIs, webhooks, ETL pipelines
Designing LLM integrations (OpenAI or private models)
CRM + finance system integrations
Automation platforms (n8n, Make, Zapier, etc.)
Strong documentation skills
Bonus:
Experience with finance data governance
Experience designing internal AI copilots
BI / dashboard data modeling experience
Section 1: Who We Are
We are a Sydney-based IoT engineering powerhouse. We are currently in a high-velocity growth phase, ruthlessly integrating AI and automation into our core operations to scale. We move fast, we skip fluff, and we value clinical execution.
Section 2: The Engagement
This is an Expression of Interest for a fast-moving project set to launch within the next few days or weeks. We are vetting high-caliber talent now to ensure we can hit the ground running.
The work environment is dynamic: some tasks are highly prescriptive (you will be given crystal-clear checkboxes and vertical logic to follow), while others are open-ended, where we rely on your architectural ingenuity and problem-solving approaches.
Section 3: The "Superhuman" Standard
We have a strong preference for 'Superhuman' candidates—those who leverage AI and automation to deliver 10x output compared to manual operators.
Non-Negotiable Deliverable: For every task, you must produce a 1-page 'Tech Sheet.' This document must list the specific tools, methods, and logic used so that the product can be maintained internally once handed off."
Section 4: Collaboration & Definition of Done
You will be integrated into our wider team and may collaborate with other specialized Upworkers. Communication occurs via a shared Slack environment.
Every task is governed by a strict 'Definition of Done' (DoD). You will be asked to demonstrate 'Done' according to these criteria. Your work will be tested at multiple levels by our internal team; if it does not meet our clinical standards, it will be handed back for revisions until it is flawless.
