About the Role
The Italian Chamber of Commerce of Ontario Canada (ICCO Canada) is a not-for-profit organization seeking a reliable, detail-oriented Bookkeeper / Office Manager to oversee day-to-day financial, administrative, and office operations. This role is hands-on and central to keeping the organization running smoothly. You will manage bookkeeping, reporting, payroll support, receivables, and general office administration, working closely with management and external advisors.
Key Responsibilities
Bookkeeping & Finance
Maintain accurate and audit-ready financial records and general ledger
Record day-to-day financial transactions, including accounts payable and accounts receivable
Process accounts payable and accounts receivable
Prepare and issue invoices; follow up on outstanding receivables
Reconcile bank accounts, credit cards, and expense reports
Prepare monthly financial reports, including income statements, balance sheets, including accruals and budget comparisons
Maintain accurate project based/job costing including revenue and expenses
Monitor cash flow and flag issues or variances
Prepare working papers for GST/HST, payroll remittances, and year-end filings
Liaise with external accountants, auditors, and tax advisors and preparation of annual working papers for external auditors
Preparation of Budget and liaise with all departments
Prepare working files to report annual results to Italian Ministry for funding purposes
Make bank deposits as needed and manage processing of wire transfers with Italian bank accounts.
Payroll & HR Administration
Process payroll and related remittances
Track employee hours, vacation, and sick time
Maintain employee records and onboarding documentation
Support benefits administration and payroll reporting
Preparation of annual T4's and T4 reconciliations
Office & Administrative Management
Manage day-to-day office operations and supplies
Coordinate vendors and service providers
Maintain organized, audit-ready files and records
Support management and board reporting as needed
Review annual contracts and renewals such as insurance for reasonableness and completeness
Reporting & Compliance
Prepare financial summaries for management and board review
Ensure compliance with accounting, tax, and employment requirements
Assist with ad hoc financial and operational reports
Required Qualifications
Minimum 5-years' experience in bookkeeping and office management
Strong knowledge of accounting principles and payroll practices
Experience in a not-for-profit environment preferred
Proficiency with Sage accounting software and Microsoft Office(Excel)
Highly organized, dependable, and detail-oriented
Strong communication skills and ability to meet deadlines and work independently
Fluent in English and Italian (Written and Spoken)
Excellent communication and interpersonal skills
Preferred Qualifications
Experience working with Italian organizations
Familiarity with tax compliance
Accounting or bookkeeping certification (CPA)
Experience with multi-currency bookkeeping
What We Offer
The expected base salary range for this position is CAD $70,000 to $90,000.
