Role Overview
We are looking for a highly organized Executive Assistant with experience supporting staffing and tech companies. This role requires someone proactive, detail-oriented, and comfortable operating in a high-growth startup environment. You will work directly with the CEO and leadership team to manage operations, coordinate hiring efforts, and support day-to-day execution.
Key Responsibilities
Manage the CEO's calendar, inbox, and daily priorities
Coordinate meetings, follow-ups, and internal communications
Support recruitment and staffing processes including candidate tracking, scheduling interviews, and coordinating onboarding
Assist with hiring pipelines across technical and non-technical roles
Help manage project timelines and team accountability
Communicate with clients, partners, and team members professionally
Prepare reports, summaries, and operational updates
Support documentation and process organization for scaling operations
Requirements
Proven experience as an Executive Assistant in a staffing, recruiting, or tech-focused company
Strong understanding of hiring workflows and talent coordination
Experience supporting fast-moving founders or executives
Excellent written and verbal communication skills
Highly organized with strong attention to detail
Comfortable using tools like Google Workspace, Slack, project management platforms, and ATS systems
Able to prioritize tasks and work independently in a remote setup
Nice to Have
Experience in startups, SaaS, or AI-related companies
Background in operations, recruiting coordination, or team management
Familiarity with Upwork hiring and contractor management
