Summary
The Marketing and Proposal Coordinator provides marketing and proposal support skills to the BD, Marketing & Proposal department, and the organization. The Marketing and Proposal Coordinator is responsible for the development of small to medium-scale proposals and the supporting documentation to ensure that we are compliant and meeting the client expectations, while also supporting the Corporate Strategy, Mission, Vision, and Values. The Proposal Coordinator will be a brand and marketing champion working with our BD & Proposal team, subject matter experts and stakeholders to prepare well thought out proposal and marketing communications.
Qualifications
- 2+ years' of proposal development experience, including at least 1 year as a proposal coordinator or similar role
- Post-secondary education in Marketing, Business Administration, or related field is desirable.
- Experience developing & building proposals in Construction/Engineering industry is an asset.
- An Association of Proposal Management Professionals (APMP) designation or demonstration of working towards the same is an asset.
- High voltage industry experience is an asset.

Duties
- Downloading documentation and setting up new bids in our CRM system, through bid portals and/or websites, as assigned
- Analyze and interpret documents (RFQ, RFI, RFP) and requirements to prepare and develop comprehensive response templates (compliance matrix, proposal outlines, schedule)
- Facilitate the RFP plan including the proposal schedule, proposal resources, coordinating team inputs and reviews, identifying, and supporting resolution of proposal development issues, overseeing production of proposal deliverables, for assigned proposals.
- Support multidisciplinary teams to implement the opportunity strategy for offering details needed to prepare the proposal, including technical, management, contract, cost estimate, and other customer deliverables.
- Collaborate with and interview subject matter experts to secure information for various writing assignments to prepare compliant and compelling written proposal content.
- Provides direction and guidance on Iconic's processes, procedures, and standards to the technical proposal teams to ensure compliance.
- Develops, prepares, and updates/maintains non-opportunity specific/additional sales qualification and reference materials (including résumés, project descriptions and organization charts) in designated document management locations.
- Organizes and participates in response-related meetings (internal and/or client), as appropriate.
- Proofs and edits technical and non-technical documents for consistency.
- Work to understand and apply proposal methods and tools, consistently implement standard best practice processes.
- Updating websites to ensure information is current and relevant.
- Assist with maintaining, monitoring, and managing proposal database, files, and systems through appropriate information management systems.
- Coordinate to align and capture the knowledge, capability, and experience to develop an integrated offering of Iconic's services to our clients.
- Coordinates the successful development of compliant, competitive, and compelling proposals, RFIs, pre-qualifications, and EOIs through effective collaboration across teams that include internal staff, other business lines and our outside partners/suppliers.
- Responsible for overseeing the integration of the offering and proposal planning, transitioning to proposal development, organizing review and approval of the proposal offering and content
- Work closely with Proposal Specialists & Manager of BD, Marketing & Proposals to ensure proposals are delivered on time and in compliance with all client requirements
- Ensures the completed proposal aligns with the client requirements and the RFP and is correctly formatted and approved by the senior management team.
- Ensures adherence to standards and templates to present a consistent appearance/style in compliance with our brand.
- Lead or assist in the production and on-time delivery of proposals (electronic and hard copy)
- Provide support with any business development / marketing initiatives including but not limited to social media content creation & coordination, graphic design, presentations for proposals and marketing materials (internal & external communications)
