Position Details

  • Role: Veterinary Receptionist
  • Status: Full-time
  • Salary: Negotiable and based on experience
  • Schedule: 4 days per week, rotating Saturdays. No nights, holidays or Sundays

Spadina Animal Hospital is a small animal, three-doctor practice, nestled in downtown Toronto, between China town and the fashion district. We have a dedicated team of technicians, ACAs, and receptionists that care for our dog & cat patients. Together we strive to build an environment in which everyone can learn, feel welcome and supported; the clinic is after all, our second home. 

We're looking for someone with a proactive attitude to join our team as a full-time veterinary receptionist. Experience in a similar position and client communication skills are a must. The schedule includes a 4-day work week, and guaranteed lunch breaks, with rotating Saturdays.

Experience

  • High School diploma
  • Previous experience as a Veterinary Receptionist is a must
  • Comfortable learning and using practice management software, specifically Avimark

Expectations

  • Greet clients and patients with warmth and professionalism
  • Answer phones, and respond to voicemails promptly
  • Schedule appointments and manage a multi-doctor calendar efficiently
  • Check patients in/out and ensure accurate client and patient information
  • Collect payments, process invoices, and review estimates with clients
  • Manage medical record requests, reminders, and basic administrative tasks
  • Handle client concerns with empathy and professionalism, escalating when needed
  • Make outbound calls/texts/emails to confirm appointments and follow up on care
  • Help the team with tasks as needed to keep the day running smoothly
  • A positive attitude and ability to contribute to a supportive, upbeat team culture
  • Strong customer service skills with a focus on building long-term client relationships
  • Strong attention to detail when updating patient records and documenting communication
  • Excellent multitasking skills and the ability to stay calm in a fast-paced environment
