How you'll make a difference:  

An exciting opportunity exists for an organized and proactive professional with strong administrative skills to support a dynamic customer service and training environment. This position provides support to the Manager, Client Services – Assistance, Training & Support, and their teams. You will play a key role in anticipating needs, coordinating schedules, supporting onboarding activities, and managing administrative workflows.

Your responsibilities:

  • Provide administrative support to the Manager and their teams.
  • Maintain scheduling calendars; process weekly attendance reports; enter or adjust absences; reconcile quarterly attendance profiles for corporate reporting.
  • Coordinate meetings: schedule, prepare materials, book rooms, track action items, and transcribe as needed.
  • Organize and support team activities, including coordination of travel for meetings, conferences, courses and seminars.
  • Assist with team communications, including administration of various collaboration platforms such as Microsoft Teams Channels and OneDrive.
  • Manage calendar updates, absence information, e-mail distribution lists, systems access, move requests, and office supply orders.
  • Prepare monthly, quarterly, and annual reporting (budget, expenses, staffing, variance reporting, etc.).
  • Manage unit "P‑cards", including monthly reconciliation.
  • Maintain unit performance metrics and scorecard.
  • Open and distribute incoming mail and respond to general telephone inquiries.
  • Assistance may be provided in preparing and managing confidential documents, claim access requests and departmental correspondence.
  • Perform IMAC Coordinator duties and administrative tasks for onboarding, including reviewing and submitting staff moves for Edmonton and Calgary, system access requests, documentation updates, etc.
  • Assistance may be provided to the Business Training and Coaching and Resource Team Assistant. This can include supporting onboarding of new learners entering the training environment, and additional administrative or coordination tasks for these teams as required.
  • Provide ad‑hoc reporting and administrative support as needed.

Your experience and skills:

  • High school diploma supplemented with business administration or secretarial courses. 
  • Several years of related administrative experience.
  • Strong attention to detail with exceptional Microsoft Excel skills.
  • Intermediate to advanced proficiency with software packages including Microsoft Word, OneNote, and PowerPoint. Experience utilizing Workday, Lotus Notes, PowerBI and Cognos is an asset.
  • Exceptional communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Excellent time management, planning, and organizational abilities, with the ability to work under pressure and meet deadlines.
  • Positive attitude, strong customer service focus, and a collaborative, team‑oriented approach.
  • Ability to work independently, prioritize tasks effectively, and navigate changing demands.

Salary:    $53,199.00 to $59,125.00 per annum (Salary Grade 06)

The successful candidate must reside in Alberta and be able to work in person from our Edmonton downtown office as required. Final candidates are required to undergo a security clearance as a condition of employment.
