Job Summary
We are seeking a highly organized and professional Administrative Staff member to support our office operations. The ideal candidate will possess strong office management skills, be proficient in various computer applications, and demonstrate excellent customer service and communication abilities. This role involves managing daily administrative tasks, supporting front desk operations, and ensuring smooth workflow within the office environment.
Duties
- Greet visitors and manage front desk responsibilities with professionalism and courtesy
- Handle multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other relevant software
- Manage calendar appointments, schedule meetings, and coordinate events efficiently
- Assist with bookkeeping tasks using QuickBooks and perform basic office management duties
- Provide customer support via phone, email, or in person, ensuring excellent service standards
- Proofread documents for accuracy and clarity before distribution
- Support clerical tasks such as typing correspondence, managing office supplies, and organizing files
- Maintain confidentiality of sensitive information and uphold office policies
Requirements
- Proven experience in office administration or clerical roles; prior experience as a medical or dental receptionist or personal assistant is a plus
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Familiarity with QuickBooks for bookkeeping purposes
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette and customer service skills; bilingual abilities are preferred but not required
- Ability to handle multi-line phone systems efficiently and professionally
- Office management experience including calendar management and filing systems
- Computer literacy with a focus on accuracy, proofreading, and time management skills
- Previous experience in a medical or dental reception role is advantageous but not mandatory
- Demonstrated ability to work independently with minimal supervision while maintaining attention to detail
Pay: $18.00 per hour
Expected hours: 40.0 per week
