Position Overview

The Scheduling Specialist is responsible for coordinating and managing inspection schedules for residential construction projects. This role serves as a primary point of contact between builders, field inspectors, and internal teams to ensure inspections are scheduled accurately, efficiently, and in accordance with builder requirements and timelines.

This position is ideal for someone who is highly organized, detail-oriented, and comfortable managing high scheduling volume in a deadline-driven environment.

Key Responsibilities

Scheduling & Coordination

  • Receive and process inspection, reinspection, and follow-up requests from builders and internal teams
  • Schedule inspections in accordance with builder timelines, requirements, and company standards
  • Assign inspections to qualified field inspectors based on certification, jurisdiction, availability, and geographic efficiency
  • Manage priority, typically next-day scheduling requests while maintaining workflow balance
  • Monitor inspector calendars to prevent conflicts, overbooking, or missed inspections

Communication & Client Support

  • Serve as a primary point of contact for scheduling-related inquiries from builders and internal staff
  • Communicate scheduling confirmations, changes, cancellations, and delays clearly and professionally
  • Address scheduling conflicts or builder concerns and escalate unresolved issues to management when appropriate

System Accuracy & Documentation

  • Maintain accurate scheduling records within company scheduling and field service platforms
  • Update inspection statuses promptly (completed, rescheduled, canceled, no-access, etc.)
  • Ensure scheduling data accuracy to support billing, reporting, and quality assurance processes

Operational Support

  • Coordinate closely with billing staff to ensure completed inspections are eligible for invoicing
  • Work with field operations to balance workload and capacity
  • Provide scheduling coverage during high-volume periods or staff absences

Qualifications

Required

  • Strong organizational and time-management skills
  • High attention to detail and accuracy
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional written and verbal communication skills
  • Proficiency with scheduling systems and Microsoft 365 (Outlook, Excel, Teams)
  • Ability to work collaboratively with field and administrative teams

Preferred

  • Experience in residential construction, inspections, or field service scheduling
  • Familiarity with builder scheduling portals or municipal inspection processes
  • Prior experience coordinating mobile field staff or service routes
