About
The Associate Housing Coordinator serves over 500 Associates a year by creating a welcoming and enjoyable experience for Housing Residents. This role is responsible for upholding the high standards of Ocean Reef Club and the Associate Housing Facilities.
Responsibilities include supporting the day-to-day experience for associates in housing and ensuring administrative duties are handled with discretion, accuracy, efficiency, and warmth.
ESSENTIAL DUTIES AND RESPONSIBILITES: In addition to the following duties and responsibilities, other duties may be assigned by Associate Housing Leadership.
Resident Services & Communication
- Greeting & Hospitality: Welcoming associates with professionalism and discretion.
- Placements & Rooming: Assisting with housing placements, roommate pairing, and managing room change requests.
- Information & FAQ: Providing accurate information regarding the Club, housing, amenities, and policies.
- Package Management: Logging, storing, and distributing resident packages, and ensuring proper mailing address communication.
- Community Building: Actively fostering a positive community atmosphere among residents.
Operational & Administrative Support
- Events Coordination: Assisting with the planning and execution of associate events.
- Administrative Tasks: Managing email, phone calls, and updating bulletin boards/digital signage.
- Roster Distribution: Emailing housing rosters to Human Resources, Public Safety, and PBX.
- Inventory Control: Tracking inventory for cleaning, office supplies, and bikes, and assisting with purchasing.
- Key Control: Signing out and making keys for residents.
Inspections, Compliance & Maintenance
- Inspections: Conducting regular room and facility inspections across all residential buildings to ensure compliance with cleanliness and safety standards.
- Check-out Procedures: Facilitating checkout walkthroughs and coordinating with HR/Payroll on departure procedures.
- Maintenance & Issues: Reporting maintenance issues to Engineering and following up to ensure they are rectified, while also managing resident complaints and reporting friction points to leadership.
QUALIFICATIONS:
- Previous experience in hospitality or customer service preferred
- Strong verbal and written skills, multilingual preferred. Ability to handle guest/Associate concerns and inquires promptly.
- Professional appearance and demeanor required. Patience and a service-oriented mindset required.
- Strong multitasking and prioritization skills in a fast-paced environment.
- Ability to work independently, troubleshoot, and respond effectively in emergency situations.
- Proficiency in Microsoft Office experience with reservation systems, like StarRez is a plus.
- Flexible availability, willingness to work weekends and holidays.
EDUCATION and/or EXPERIENCE:
- High school diploma preferred
- 1-2 years of reception, customer service, or related field
LANGUAGE:
Excellent command of the English language. Must be able to comprehend the English language in order to effectively communicate with co-workers and fully understand job assignments. Bilingual (Spanish) preferred.
CERTIFICATE, LICENSES, REGISTRATIONS: Valid Florida Drivers License

Regular attendance in conformance with the standards, which may be established by Ocean Reef Club from time to time, is essential to the successful performance of this position. Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
Due to the cyclical nature of the hospitality industry and report deadlines, associate may be required to work varying schedules to meet the business needs of the Club and report deadlines.
Proper grooming is required by all associates and is described in detail in the Associates Handbook. Associates should review this policy and make sure that at all times they present themselves for shifts looking clean, neat and professional.
As a condition of employment, all associates agree to fully comply with Ocean Reef Club rules and regulations for the safe and efficient operation of Club facilities. Associates who violate Club rules and regulations will be subject to disciplinary action, up to and including termination of employment.
