The Warehouse Coordinator oversees daily warehouse operations and directs staff in performing routine tasks. This role is responsible for compiling and maintaining records, preparing reports on warehouse activities, and coordinating merchandise orders. Additionally, the Warehouse Coordinator supports overall warehouse management by assisting in developing policies, procedures, and operational plans.
Duties and Responsibilities
The duties listed below are not inclusive, but characteristic of the type and level of work associated with this position. Individual reports to the Warehouse manager and may perform all or some combination of the duties listed below, as well as other related duties. The coordinator receives general supervision from an administrative superior who assigns and reviews work daily, at staff meetings, and through reports on warehouse operations. Warehouse Coordinator must follow district administrative guidelines, state purchasing procedures, and departmental procedures to support warehouse operations.
Coordination Responsibilities:
Inventory Management
- Coordinate and participate in physical inventory of warehouse items.
- Compile inventory records and prepare reports as needed.
- Organize surplus property storage.
- Monitor inventory levels to maintain adequate stock.
Auction Coordination
- Schedule and coordinate the setup of public auctions.
Order Processing
- Compile order requests from various sources.
- Ensure compliance with specifications.
- Determine type and quantity of items to order.
- Prepare purchase order requests and notify the purchasing agent of specifications.
- Handle urgent requests and arrange special orders for non-standard items.
Recordkeeping & Evaluation
- Compile and complete inventory, ordering, and receiving records.
- Review reports for accuracy.
- Evaluate the performance of purchased materials to ensure cost-effectiveness and durability.
Warehouse Staff Support
- Support Warehouse Manager by directing and overseeing warehouse workers.
- Assist in planning, assigning, and reviewing work.
- Prioritize delivery schedules.
- Support assessment of training needs and assist in providing instruction.
- Provide initial orientation for new employees.
Administrative Duties:
- Manage warehouse operations in the supervisor's absence; assist with planning and policy development.
- Assist in developing policy, procedures, and plans for warehouse activities and act as a liaison to agency staff requesting units services
- Create requisitions for Warehouse maintenance, supplies, and support services.
- Initiate the programming of drives for Asset Registration processes, capturing Purchase Order Details, and good lines reports in Workday for Warehouse Inventory Specialist.
- Process goods that fall under asset criteria for asset registration tracking, DEW's, and Title I's Audit compliance.
- Maintain records and prepare reports on warehouse activities, and act as liaison for agency service requests.
- Research equipment market value for resale pricing; review federal surplus items for agency use.
- Verify and create receipts in Workday for district-wide purchases (devices, tech, furniture, equipment, supplies); confirm receiving services with Distribution and Logistics.
- Create requisitions for warehouse maintenance, supplies, and support services.
- Initiate asset registration processes in Workday, including programming drives and capturing purchase order details.
- Process goods meeting asset criteria for tracking and compliance with audits (DEW's and Title I).
Warehouse Operation:
- Perform, direct, and oversee daily warehouse activities.
- Receive and log incoming freight shipments, including retrieval from other locations.
- Verify freight against invoices and purchase orders and report discrepancies.
- Obtain signatures or receipts and complete inventory records.
- Schedule and monitor unscheduled or emergency deliveries.
Maintain a clean, organized, and orderly warehouse environment.
Prepares shipping bills, verifying and indicating service locations, descriptions, asset IDs, and serial numbers of CMSD and Non-Public (Auxiliary) for assets to be delivered, schedules, and routes for distributing district-wide supplies both to schools and central offices.
- Create CMSD and Non-Public asset registration data uploads information for Workday Finance System Analyst. Utilizing multiple systems to integrate accurate data.
- Organize and keep a file of outgoing and incoming activity log records at the Warehouse.
- Manage tracking assets' service locations
