We are seeking a highly organized and dependable Project Manager / Administrative Assistant to support our General Manager and help ensure projects, permits, and operations are executed efficiently and compliantly.

Position Overview

This role is a hybrid project management and executive administrative position. The Project Manager / Administrative Assistant to the General Manager is responsible for coordinating projects from start to finish, managing permits and documentation, tracking timelines, and ensuring safety standards and company processes are followed.

This position requires strong follow-through, attention to detail, and the ability to manage multiple projects while supporting leadership.

Key ResponsibilitiesProject Management & Coordination

  • Coordinate multiple projects from planning through completion
  • Create and manage project timelines, task lists, and status reports
  • Track materials, scheduling milestones, and job progress
  • Follow up with field staff, office staff, vendors, and inspectors to ensure deadlines are met
  • Identify risks, delays, or issues and escalate to the General Manager
  • Maintain accurate project documentation and records

Permits & Compliance

  • Pull permits for plumbing and construction projects as required
  • Track permit status, inspections, approvals, and close-outs
  • Coordinate inspections with city, county, and local authorities
  • Ensure all permit documentation is complete, accurate, and filed properly
  • Maintain compliance with local, state, and company regulations

Safety & Standards Compliance

  • Ensure projects follow company safety policies and procedures
  • Verify compliance with OSHA, state, and local safety standards
  • Track safety documentation, certifications, and jobsite requirements
  • Assist leadership in maintaining safety records and compliance reporting
  • Communicate safety expectations clearly to staff and vendors

Administrative Support to the General Manager

  • Provide day-to-day administrative and clerical support to the General Manager
  • Manage calendars, meetings, appointments, and reminders
  • Prepare meeting agendas, notes, action items, and follow-up summaries
  • Draft, organize, and distribute emails, memos, reports, and internal documents
  • Handle filing, scanning, data entry, and document organization (digital and physical)
  • Maintain accurate records, spreadsheets, and project documentation
  • Assist with ordering office supplies and managing administrative inventory
  • Run business-related errands as needed (permit offices, supply pickups, document drop-offs, etc.)
  • Coordinate travel, meetings, and off-site appointments when required
  • Act as a point of contact between the General Manager and internal teams or external partners
  • Track tasks, priorities, and deadlines to ensure follow-through and execution
  • Maintain confidentiality and handle sensitive company information with professionalism
  • Operations & Process Support
  • Support implementation and maintenance of SOPs and workflows
  • Assist with onboarding and training documentation
  • Help track operational reports, project metrics, and compliance data
  • Support cross-department communication and accountability

Qualifications

  • Experience in project management, operations, or administrative support
  • Strong organizational, multitasking, and time-management skills
  • Experience pulling permits or coordinating inspections (preferred)
  • Knowledge of safety standards and compliance requirements
  • Excellent communication and follow-up skills
  • Proficiency with Google Workspace and spreadsheets
  • Ability to work independently and take ownership of projects

Preferred Experience

  • Plumbing, construction, or service-industry experience
  • Familiarity with local permitting processes
  • Experience supporting management or leadership teams
